Job Description

Our Big Brothers Big Sisters of the Sun Coast team is seeking an energetic Intake Manager for our Sarasota office providing administrative support to Venice and other areas of our footprint. This is a

FULLTIME HOURLY

position that provides personal service for incoming phone calls, completes Volunteer and child intake utilizing our web-based software, schedules appointments for others in the office using Outlook and Acuity scheduling, schedules virtual meetings as needed.

This position will have interactions with adults and children over the phone and in-person. This role will communicate with the volunteers to schedule interviews, finger printing, and act as a liaison in some cases with the Mentor Managers and other personnel in the office.
This position reports to the Sarasota office daily. This role may participate in and help with the execution of Agency activities after hours and on the weekends.
Ideal candidate:
Is able to communicate in English. Additional languages are welcomed. Has a positive attitude and disposition
Is knowledgeable in the following: MS Word, MS Excel, MS Outlook, data input on various computer programs.
Must be able to successfully pass a drug screening and background check including criminal history, employment and references.
Must have a High School Diploma or GED Equivalent & 2-3 years of related work experience in a fast-paced administrative setting.
Must have a valid driver’s license, auto insurance, and dependable transportation.
Must have a proven record of dependability and good attendance.

Duties for this role are:

All customer and stakeholder contacts are marked by an atmosphere of welcoming engagement.
Ensure that all volunteers receive an engaging, positive and personalized sales phone response that promotes BBBSSC programs.
Effectively move the volunteer from the point of first contact to active enrollment
Identify and eliminate any barriers interfering with the initial enrollment process
Follow process through to next point of contact utilizing MatchForce software
Obtain preliminary contact information and schedule enrollment interview within prescribed time frame Send forms or program information as needed to volunteers, families, or school administrators.
Collaborate with other service delivery staff to ensure smooth transition among functions.
Respond to all custodial calls of inquiry regarding the enrolled status of their child(ren). Insure that all such inquiries receive prompt and informative response.
Respond to all calls requesting general information; communicating basic information, flexibility and volunteer choice.
Persistently track and maintain recurring contact with potential volunteers and families who have not completed the enrollment process.
Complete reference checks and conduct criminal history background (including sex offender registry) checks for volunteers. Verify the legal identity of the volunteer through original documentation. Immediately bring to the attention of Mentor Manager, Enrollment and Match Specialist any concerns surfacing during reference checking that may influence the volunteer enrollment process.
