Phelps is offering an opportunity for a Project Assistant responsible for supporting the Business department. Assist the lawyers and staff by maintaining their electronic and physical filing to include onsite and offsite records management and routine file maintenance. This position will assist in the effective management of the Firm’s client and administrative files ensuring that they are physically and electronically accounted for and organized. Essential Duties and Responsibilities Upload pertinent documents to document management system. Scan documents/invoices, create document profiles, and file appropriately in FileSite. Maintain spreadsheet to track status of open/closed cases for attorney, where needed. Assist in the effective management of the Firm’s client and administrative files. Ensure that documents are saved and filed into the appropriate workspaces/folders in FileSite. Identify most efficient and effective manner to complete tasks. Leverage technology resources to ensure the group is operating as efficiently and effectively as possible. Maintain spreadsheets for projects as needed. Provide excellent service to attorneys, management, staff and other professionals. Handle other administrative-related tasks and special projects as assigned by attorneys and staff (e.g. scheduling & calendaring events). Assist attorneys and staff with overflow assistance if needed. Open files, close files, and assist with conflicts checks, if needed. Perform general office clerical duties as necessary. Regular and predictable attendance is an essential function of the job. Other duties as assigned.
Education and Experience:
High School diploma or equivalent is required. College degree preferred. One to two years of administrative experience, preferably in a law firm, is desirable. General knowledge of legal terminology and the legal process is desirable.
Qualifications and Skills:
Attention to detail, proofreading, and filing aptitude. Excellent communication skills, both verbal and written are required to ensure efforts are consistent and compliant with the firm’s standards. Self-driven and goal oriented with strong initiative and follow-through skills. Must maintain a professional, customer-service attitude with peers, management and clients of the Firm. Must be a team player and uphold Firm policies and procedures. Strong organizational skills with an ability to multi-task. Ability to prioritize work in a high volume, service-oriented environment. Ability to interact well with management and staff. Computer literacy, including Microsoft Office. Transactional real estate experience a plus.
Performance Measures:
The Project Assistant will be evaluated by the department attorneys and Office Manager based on the following performance criteria: Ability to adhere to schedule, policies, and procedures. Effective time management and ability to handle all duties and project deadlines. Professionalism and professional communication in dealing with attorneys, staff, and management. Ability to work in a high volume, service-oriented environment.
