This role requires strong multitasking abilities, outstanding communication skills, and a commitment to excellence in client service. The ideal candidate will be responsible for managing real estate transactions and listings from start to finish, maintaining and optimizing our CRM/database, and ensuring seamless day-to-day administrative operations.
Key Responsibilities:
Transaction & Listing Management Coordinate and manage all aspects of active transactions (contract to close), including communication with clients, title companies, lenders, and other parties. Ensure all documentation is complete, accurate, and submitted in a timely manner to compliance. Schedule inspections, appraisals, and final walkthroughs, keeping all parties informed. Prepare and manage listing documents, MLS input, marketing materials, and listing launch timelines. Maintain detailed checklists and timelines to track listing and transaction milestones. Database & CRM Management Maintain and organize the team’s CRM/database with current leads, clients, and past client information. Implement systems to track follow-ups, client touches, and lead conversions. Ensure consistent data integrity and assist in building out drip campaigns and contact segmentation. Administrative & Operational Support Manage calendars, coordinate meetings, and support scheduling for the agents. Assist with client communications, marketing coordination, and document preparation. Maintain organized digital and physical filing systems. Support the execution of client events, mailings, and special projects.
Qualifications:
2+ years of experience in real estate support, executive assistance, or transaction coordination. Deep understanding of real estate processes and terminology. Proficient in tools such as
MLS, CRM
platforms (e.g., Follow Up Boss, BoomTown, or similar), Microsoft Office, and Google Workspace. Exceptional organizational and time management skills with the ability to prioritize and multitask. Strong written and verbal communication skills. Self-starter with a proactive approach and high attention to detail.
Preferred Qualifications:
Real estate license (preferred but not required). Experience supporting multiple high-performing agents or a team. Familiarity with real estate platforms (Dotloop, Skyslope, DocuSign, Canva, etc.).
