Position Overview Ultimate Staffing Services is seeking a dedicated Probate and Real Estate Assistant to join their client’s reputable firm in Largo. This family-run firm has been trusted legal advisors since 1953, providing comprehensive estate planning to protect families during times of transition. The firm seeks an individual who will support both the Probate and Real Estate Departments, ensuring the smooth execution of probate processes and residential real property sales transactions. While prior experience in a law firm is not required, candidates with experience in a real estate practice, title company, or probate law firm are encouraged to apply. Responsibilities
Drive Probate and Real Estate files to meet timelines and billing milestones.
Prepare court pleadings, letters, and other documents for the probate and trust settlement process with a strong understanding of FL court procedures.
Open real estate files, input data, and prepare closing documents for attorney review.
Process and maintain probate and real estate files in an orderly fashion, update office databases, and archive files.
Welcome buyers, sellers, and other parties arriving at the office, answer real estate line calls, and communicate effectively with all parties involved in transactions.
Order and review title searches and commitments, prepare documents to satisfy title requirements.
Prepare contracts for sale, documents for closings, and other real estate transactions; record instruments and deliver title policy paperwork to appropriate parties.
Prepare 1099s at year-end and submit electronically to the IRS, track and complete title insurance commissions.
Attend Probate and Real Estate educational seminars.
Prepare and type letters and other general correspondence for attorneys as needed.
Answer telephone calls and provide answers or direct the call to the appropriate team member.

Qualifications
High school diploma from an accredited institution; Paralegal Degree/Certificate is a plus.
Minimum of 2+ years of experience in Real Estate or Trusts and Probate.
Professional experience (3+ years required).
Real Estate Title and Closings experience (preferred).
Experience with Microsoft programs including Word, Excel, Access, Dynamics, and SharePoint.
Ability to do internet research and search public records.
Availability for overtime as needed or required.
