Special Projects Assistant – Litigation Shumaker, Loop & Kendrick, LLP 240 South Pineapple Avenue, Sarasota, FL 34236 Overview We are seeking a dedicated and detail-oriented Special Assistant to join our team. This role is crucial in providing administrative support for the litigation team including docketing, saving documents into our document management system, scheduling hearings, depositions, mediations, and other duties as listed in the description below. The ideal candidate will possess strong organizational skills, a keen eye for detail, the ability to manage multiple tasks efficiently, and a working knowledge of and ability to research court-mandated deadlines Responsibilities Calendaring case deadlines in case management orders using Milana Prepare/update email designations Draft shell for each case with case header, certificate regarding meet and confer, and certificate of service and update COS as needed Draft shell responses (answers, notices of hearing, deposition notices, subpoenas, discovery and discovery responses, etc.) Public records research (Sunbiz, property searches, permit searches) Reviewing court requirements and calendaring applicable deadlines Preparing submissions to courts for hearings (using any of the various platforms used around the state) in compliance with judges’ requirements E-filing in federal, state, and local courts Service of court documents, including mailing and emailing as needed Saving documents which are e-filed and calendaring applicable deadlines Preparing of materials for hearings and depositions (including witness folders and exhibits) Scheduling hearings, depositions, mediations, etc. Calendering and coordination of rooms for depositions/mediation (confirming that IT/Teams/Zoom is set up, scheduling court reporter, etc.) Saving discovery productions electronically Preparing forms to Litigation Support for assistance with large document productions Assisting with labeling discovery productions for smaller cases that Lit Support is not handling Creating sharefile links Processing invoices Submitting check requests Processing proformas Submitting conflicts checks (initial and supplemental as new parties are added/discovered) Preparing engagement letters Communicating with clients regarding receipt of retainers Pulling information to respond to billing inquiries from clients (we are constantly asked questions about how retainers are applied) Following up with cold callers Submitting reimbursements (travel, mileage, CLE’s, marketing, etc.) Registering attorneys for events and CLE’s Assisting attorneys and marketing to prepare for events Inputting time (Sandy Gray is current overflow) Word processing (Sandy Gray is current overflow) Large copy projects (Office Services is current overflow) Closing files and scanning documents to save, breaking apart old hearing binders for shredding, etc. Qualifications At least one year of experience in litigation, including Florida Rules of Civil Procedure Excellent administrative skills with a proven ability to manage multiple priorities effectively. Proficiency in document review processes and legal case management/docketing systems. Exceptional proofreading skills with attention to detail. Strong communication skills, both written and verbal, to interact effectively within a team environment.
