Responsibilities:
  • Coordinate with clients, attorneys, and financial advisors to fund trusts, including transferring assets, retitling accounts, and managing paperwork
  • Management of coordinator queue
  • Accurately break down funding PDFs, ensuring accuracy and completeness
  • Monitor funding progress and maintain precise records of all transactions and communications
  • Maintaining calendars, preparing correspondence, and providing customer service
  • Scheduling of paralegal and attorney appointments
  • Interact with clients over the phone and by email
  • Correctly direct phone calls/emails to the appropriate attorney and/or agent
  • Respond to client’s basic service requests/queries
  • Proofread documents for accuracy and grammar. This will include review of legalese
  • Prepare and review new account and service paperwork
  • Ensure paperwork is prepared and provided for all client meetings
  • Perform general clerical tasks such as filing, photocopying, and organizing documents
  • Accurately enter data into various systems or databases
  • Responsibly closing out files upon client request, ensuring compliance and confidentiality
  • Providing backup assistance to the Executive Assistant during breaks, or vacations when the Executive Assistant is unavailable
  • Performing any other duties as assigned with dedication and professionalism
Qualifications:
  • Previous experience in an office or administrative role preferred
  • Strong phone etiquette and communication skills
  • Proficient in computer literacy
  • Ability to multitask and prioritize tasks effectively
  • Attention to detail and accuracy in work
  • Strong organizational skills
