Share Job Job Description Legal Admin Clerk (Witness Management, US Federal Agency) (Onsite,Oxford, MS) We are looking for a Legal Clerk/Admin to support a US Federal Agency in areas of witness management and administration. The focus of this role is to support the agency performing a variety of tasks related to witness management, including maintaining witness files, completing and processing travel vouchers, arranging travel and lodging, entering data in relevant computer systems, and other witness management-related duties. This is a long term 5 year contract – 40 hours/week 100% onsite at the agency’s office in Oxford, MS. This is a W2 role with Stage 4 Solutions. Health benefits and 401K are offered.
Responsibilities:
Perform office support duties including handling mail, scheduling appointments, maintaining accurate internal records, and using office equipment such as copiers, scanners, and fax machines.
Perform data entry, word processing, and information retrieval; analyze data from multiple sources; manipulate, compute, and print reports and other documents. Provide administrative information to other agencies and ensure accuracy of records and assist in completing reports and supporting documentation as needed.
Establish and maintain case, project, and fact witness files; organize, tab, and index documents; track case activity, trial dates, grand jury schedules, and hearing appearances in calendars or databases.
Provide witness management assistance before, during, and after trial by coordinating with fact witnesses to ensure appearance at court, pre-trial conferences, and grand jury proceedings, as well as arranging travel and lodging for fact witnesses in accordance with agency policies, ensuring all travel documents are complete prior to scheduled appearances.
Meet witnesses upon arrival, conduct courtroom orientations, accompany them to court, ensure access to safe waiting areas, and collect signatures and required documents for reimbursement.
Prepare and submit reimbursement documentation for fact witnesses, including travel vouchers, reconcile Government Travel Accounts; respond to inquiries on pending or completed vouchers.
Respond to incoming calls, visitors, and written inquiries from witnesses and the public, refer to appropriate staff, answer procedural questions, and provide case-related updates as directed.
Coordinate with agency on special witness requirements such as international, military, federal employee, or hostile witnesses and complete authorization paperwork for special approvals.
Collaborate with court officials and other stakeholders to support witness logistics and scheduling.
Draft general correspondence and original letters that require knowledge of legal terms and procedures; format recurring documents in accordance with agency style requirements.
Requirements:
2+ years of experience as a Legal Clerk Admin for law offices, courts, or government agencies
Proficient in Microsoft Office and capable of learning agency systems.
Excellent communication, attention to detail, organizational, and interpersonal skills.
Proven experience managing information, including reviewing data from multiple sources, creating and maintaining case files, entering and retrieving data from databases, formatting reports, and preparing accurate correspondence using reporting tools
Experience supporting witness coordination tasks such as arranging travel and lodging, preparing reimbursement documentation, and communicating with witnesses to ensure appearance at legal proceedings preferred
High school diploma required; associate or bachelor’s degree preferred
U.S. citizenship and ability to pass a federal background investigation.
