III ENTRY-LEVEL SALARY

MINIMUM REQUIREMENTS

High school diploma or GED equivalent prior to hire, including or supplemented by courses in typing. Two years of experience in secretarial, clerical, and general office duties of routine difficulty. Demonstrated ability to type a minimum of 35 words per minute.

ESSENTIAL FUNCTIONS

Types a variety of correspondence, reports, etc., from copy and rough drafts; makes corrections for incidental errors in grammar, punctuation, and spelling; frequently deals with technical terminology (i.e., legal terms, etc.); composes routine correspondence requiring judgment and originality; drafts legal documents using provided templates. Conducts clerical research, performs title searches and gathering narrative and statistical data, forms, and documentation from a wide variety of sources for narratives, special reports, or performance measure accountings. Maintains good public relations in dealing with the public either by phone or in person. Develops and maintains filing systems using appropriate methods (i.e., numerical, chronological, and alphabetical) including maintenance of digital files in software system and on servers. Handles complaints and answers questions that are received by phone call, email, or in person. Drafts documents, reports, and other files as needed using computer software programs such as Word, Excel, PowerPoint, etc. Bills for department services; accepts payment for work performed; balances accounting ledger; prepares cash report for deposit; drafts, records, and releases liens as required. Processes incoming and outgoing mail, including routing correspondence to correct individuals/departments and completing data entry or filing of returned mail.

MARGINAL FUNCTIONS

Performs mathematical and statistical calculations for the purpose of completing forms and reports and verifying data. Maintain supplies needed for a department and reorders when necessary. Attends meetings and takes notes to communicate with the department. Performs related work as required.
