Maintain deposit backup daily. Maintain inventory and petty cash control, ensuring proper reconciliation. Send daily reports to Corporate everyday. Assist with office appearance upkeep, including ensuring fresh coffee and water are available for clients. Coordinate defendant court reminder calls with Manager Office Support Provide Administrative assistance in all claims matters as appropriate Assist with Corp requests, and inter-agency requests (such as: filing motions, exonerations, pulling minute orders, filing trust deeds, etc…) in a timely manner Build files (labels, 2100RC, systematic form order, etc…) as necessary Scan and attach complete defendant file documents/photo into BMA system If receiving a bond call, capture name of caller, name of defendant, phone # of caller and pass to an agent as necessary. Never hang up a lead without an agent talking to that person. Scan copies of defendant court papers into BMA, and file into appropriate file Provide backup support when agents are busy with other transactions (Defendant check in, court updates, payments, gathering bail info, etc…) Create bond client packet. Send out/pick up Mail/Federal Express, and sort or deliver accordingly Maintain and order office supplies and bail forms. Customer Service Provide prompt, professional, non-judgmental customer service to the general public Provide outstanding customer service with a sense of urgency in the following areas, including but not limited to: check-ins, court updates, payments, reinstatements, as well as any other client issue that can and will arise on a daily basis Always maintain a professional personal appearance and adhere to the Aladdin Bail Bonds dress code while working with any customer, vendor, court, jail, or co-worker Always be a TEAM player and provide support as needed without hesitation and/or complaint Job Related Experience Required Minimum 2 years office administration experience (preferred) HS Diploma or equivalent (required) Excellent written and verbal interpersonal/ communication skills that ensure successful interaction with clients Possess basic computer skills, including but not limited to: typing, Microsoft Office (Outlook, Word, Excel, etc.) Proficient with the English Language (additional language speaking a plus). Ability to multi-task in a fast paced office environment and prioritize to maximize production and increase customer satisfaction. Ability to work with others as a team. Positive attitude and the ability to be proactive, resourceful and flexible. Ability to take initiative and work with minimum supervision. Flexibility to work non-standard hours as needed to attend to urgent matters. Job Requirements Must be able to acquire a state issues insurance license. (ONLY if wanting to be a licensed bail agent) Must have a valid driver’s license and able to qualify to drive a company vehicle. Willing to work a rotating schedule. Must be able to pass a background check. Summary As an Office Assistant II, you will be essential in supporting daily administrative operations and ensuring efficient office functionality.
