Job Description

Administrative Assistant to Municipal Development Director City of Marianna 2895 Jefferson Street, Marianna, FL 32446 The Administrative Assistant to the Municipal Development Director is a highly responsible, advanced secretarial and administrative position. Work will be performed with considerable independence and employee must be capable of carrying on many varied tasks without direct supervision. Work will be performed under the direction of the Municipal Development Director and evaluated through conferences, performance reviews, and observation of program effectiveness. The Administrative Assistant to the Municipal Development Director is responsible for actively researching, seeking, and assisting the Municipal Development Director in application and administration of grants and performing secretarial work related to municipal planning. This role routinely uses office equipment such as computers for various applications, phones, photocopiers, filling cabinets and fax machines. The position also requires the employee to coordinate directly with the City’s consultant building official and contractors to assist with issuance and tracking of building permits. The employee demonstrates a high degree of attention to detail, and will be required to project and maintain a positive image on the City of Marianna.

ESSENTIAL JOB FUNCTIONS

Customer service. Answer phones. Input and retrieve of a variety of information using a computer terminal. Assist with budgeting records. Maintain files and records related to grants and planning. Attend conferences, meetings and hearings related to grants. Track grant and planning information over time. Actively seek out, research, and assist with applications and administration of grants. Assist with preparations for bid packages. Prepare correspondence, reports and other materials. Arrange and schedule meetings and other travel arrangements. Maintain department records. Perform other related duties as assigned.

QUALIFICATIONS
Education, Training and Experience:

Must have graduated from a standard high school or obtained a GED, and have at least two years’ experience as an administrative assistant or in the grant administration field. An Associate’s Degree is preferred. Experience with word processing, spreadsheets and Internet research. A comparable amount of training or experience may be substituted for the minimum qualifications.

Special Requirements:

Must have possession of a valid Florida driver’s license.

Knowledge, Skills and Abilities:

Thorough knowledge of modern office practices and procedures, grammar, spelling, and math. Advanced computer knowledge and proficiency in MS word, excel, and access. Ability and willingness to learn other computer software programs. Strong organizational skills. Ability to follow directives with minimum supervision. Ability to understand and follow oral and written instructions in English. Ability to communicate effectively both orally and in writing in English. Ability to deal effectively and courteously with the public. Detail oriented. Ability to prioritize and perform multiple tasks. Ability to manage time effectively. Ability to maintain financial and budget records as pertains to grants. Ability to track grants over time and follow up as needed. Ability to maintain effective working relationships with other employees.

PHYSICAL DEMANDS

Sedentary work: position requires frequent sitting. Exerting up to 10 pounds of force occasionally and/or small amount of force to lift, carry, push, pull or otherwise move objects.

Climbing:

Descending and ascending stairs to and from basement.

Fingering:

Picking up, typing, or otherwise working primarily with fingers rather than with whole hand as in handling.

Hearing:

Perceiving the nature of sounds at normal speaking levels with or without correction.

Visual Acuity:

With or without correction. Have close visual acuity to perform and activity such as: preparing and analyzing data and figures; viewing computer monitor and extensive reading; determine the accuracy, neatness and thoroughness of the work assigned or to make general observations.

Repetitive motion:

Substantial movements (motions) of the wrist, hands, and/or fingers.

Talking:

Expressing or exchanging ideas by means of the spoken work including those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly and quickly.

Walking:

Moving about to accomplish tasks.

WORK ENVIRONMENT

Work is performed inside an office setting.

HOURS WORKED

Monday through Friday 8:00 am to 4:30 pm in the office unless duties require you to be away from assigned work station.
