Description The Deputy Clerk must exhibit the ability to perform data entry and customer service duties pertaining to Divorce, Domestic Violence, Child Support, Paternity, Name Changes, Adoptions, and Custody case types. Must exhibit proficient communication and computer skills, as well as display a welcoming and professional demeanor. Maintaining confidentiality and the ability to keep emotions under control are essential to this position. Examples of Duties Assist with inquiries from the public and other agencies, via customer service window and telephone, with information concerning family cases provided/stored by the Clerk’s office.
Court Clerk functions include: attend court hearings, administer oaths, accept exhibits, check files and paperwork to determine if all needed documents are ready for court, check dockets for special instructions.
Required to be “on call” for Domestic Violence related needs. The weekly schedule rotates through the department with other DC’s. Required to work nights and weekends when needed while “on call”.
Create and process new cases.
Prepare and batch various pleadings and documents.
Accurately maintain electronic case files to ensure accuracy of information.
Daily balancing of money.
Opening and Processing mail.
Learn and utilize department policies and procedures required to conduct operations.
Professionally communicate and work with outside agencies, specifically Judges and the Sheriff’s Office.
Performs other duties to assist the department and organization as assigned.

Typical Qualifications Required:

Associate’s degree from an accredited college or university in Paralegal Studies, Criminal Justice, or a related field. Two years of directly related experience will substitute the educational requirement.

Preferred:

Professional experience in a local or state government agency, within a department that works directly with or alongside the court system. Two years professional experience in an in-person office.

Supplemental Information Knowledge, Skills, and Abilities:

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other DCs.
Excellent interpersonal skills and possess the ability to work in a fast-paced environment.
Demonstrated competence to handle a variety of activities with attention to detail and quality. Ability to maintain a high level of professionalism, confidentiality, and tactfulness.
Ability to keep abreast of Florida Sunshine Laws and Administrative Orders that affect public records information practices and recommend necessary changes.
Ability to perform despite frequent interruptions or distractions.
Ability to work independently and follow through on assignments with minimal direction.
Strong computer skills with proficiency in desktop office solutions (e.g., Microsoft Office suite), database applications, email (with .pdf file attachments), and Internet search tools, as well as computer peripheral devices (e.g., printers, scanners).

Physical Demands:

While performing the duties of this job, the DC is regularly required to stand; walk; sit; use hands to finger, handle, or feel and talk or hear. The DC is frequently required to reach with hands and arms and climb or balance. Must regularly lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision and ability to adjust focus.
