QUESTIONS
Summary The Cancellation Clerk is responsible for the timely and accurate processing of real estate documents, with a primary focus on cancellations and assignments of security deeds. This role ensures the integrity, accessibility, and legal compliance of property records filed with the Bibb County Superior Court. Essential Duties and Responsibilities Document Processing & Filing
- Process and return cancellations and assignments of security deeds.
- Ensure documents are correctly dated, indexed, and assigned proper book and page numbers.
- Maintain sequential order and accurate filing of all processed documents.
Customer Service & Public Interaction - Assist attorneys, title companies, and the general public with real estate document
inquiries. - Respond promptly and professionally to in-person, phone, and email requests.
Records & Systems Maintenance - Scan plats and real estate records using specialized software.
- Support the creation of spine labels and maintenance of physical and digital real estate books.
- Assist with data entry, indexing, annotation, and verification of documents in the official record.
Quality Control & Reporting - Track daily volumes of cancellations and assignments by book and page number.
- Serve as backup for scanning and digital document management processes.
Other Duties as Assigned - Perform additional clerical and administrative support functions within the Real Estate Division as needed.
Education, Training and Experience Minimum High school diploma or GED required; Minimum of three (3) years’ experience in court operations, real estate, legal administration, or document recording and/or any equivalent combinations of training, education, and experience will be considered.
SPECIAL REQUIREMENTS
– Valid Georgia Driver’s License required.
– Subject to criminal background check and employment eligibility verification. Knowledge, Skills, and Abilities
- Strong understanding of Georgia real estate recording practices and court filing procedures.
- Familiarity with relevant Georgia statutes and local rules governing deed cancellations and assignments.
- Proficient in Microsoft Office (Word, Excel, Outlook) and scanning software; able to operate standard office equipment.
- Minimum typing speed of 55 WPM with high accuracy.
- Excellent attention to detail and organizational skills.
- Strong oral and written communication skills with a professional demeanor.
- Ability to work independently and collaboratively in a deadline-driven environment.
- Must maintain a high level of confidentiality and exercise sound judgment.
