QUESTIONS
Summary Probate Division responsibilities include processing petitions for Probate and Administration, and to provide general and administrative support to the Probate Division staff as needed. License Division responsibilities include working with the public to process and complete applications for marriage licenses and weapons carry permits and provide general administrative and clerical support in the License Division of the Probate Court, as needed. A Deputy Clerk II is so designated by and holds office at the pleasure of the Judge of the Probate Court but is under the direct supervision of the Clerk. Essential Duties and Responsibilities Processes and files applications for marriage licenses, weapons carry permits and related applications filed with the Court.
Answers telephone and assists the general public and attorneys by providing information and services.
Collects fees; balances daily cash till at end of day.
Maintain, scan, file records of the license division.
Must maintain strong communication and interpersonal skills.
Assists probate division with processing petitions and maintaining current workflow, requires knowledge, comprehension and training in all general aspects of Probate Division.
Process probate and administration petitions, applications, motions, and other pleadings filed with the court.
Reviews petitions and applications for completeness and accuracy, must be able to learn and understand inheritance under Georgia law and rules of service and notice.
Prepares summons, citations, notices, orders, return of service forms and service documents for civil actions.
Other duties as required. Education, Training and Experience The Deputy Clerk II should possess a minimum of High School Diploma or GED, minimum of two (2) years in Probate Court or other legal services; or any equivalent combination of education and experience which provides the required knowledge, skills, and abilities to successfully perform the duties and responsibilities of the position.
NECESSARY SPECIAL REQUIREMENTS
Must successfully complete Security and Integrity Training and meet requirements to perform Criminal history/background checks through GCIC. Knowledge, Skills, and Abilities Knowledge of the laws and procedures governing the licensing functions of the probate court; demonstrated understanding and comprehension of licensing laws applicable to probate courts; knowledge of the functions, operations and procedures in the License Division.
Demonstrated ability to read, interpret, and understand fully criminal histories and mental health records obtained on weapons carry license applicants; demonstrated ability to communicate with the Georgia Bureau of Investigation, the Federal Bureau of Investigation, and other law enforcement agencies and courts across the county as necessary to determine levels of criminal convictions, ascertain dispositions not shown or criminal records reports, and obtain other appropriate information necessary to process weapons carry license applications.
Maintain certification in Criminal History Security and Integrity in accordance with Regulations issued by the Georgia Criminal Information Center of the Georgia Bureau of Investigation.
Demonstrated knowledge of the system of courts in the State of Georgia.
Intermediate proficiency in Microsoft Office applications, as well as database programs; Proficiency in Microsoft Word is required; demonstrated acceptable proficiency in the court management software used in the Probate Court.
General and basic skills in mathematics and simple accounting or bookkeeping.
Strong oral and written communication skills.
Demonstrated ability to work effectively with attorneys and other professionals, the frequent interaction with members of the public, staff and others with varying educational/intellectual levels and varying socio-economic and linguistic backgrounds.
Demonstrated ability to maintain appropriate confidentiality and security of private or confidential information.
Demonstrated ability to work effectively with members of all levels within the organization.
Demonstrated ability to show good judgment, consistency, timeliness and respect in decision-making.
Demonstrated ability to achieve results on a timely basis
