Judicial Assistant Dougherty County Superior Court 225 Pine Avenue, Albany, GA 31701 Job Summary This is office and court clerical work involving document preparation and processing and receptionist duties in support of a judge. Work includes coordinating, preparing, processing, and filing office and court documents, posting and checking information, performing receptionist duties, and coordinating and performing related office support duties. Work may also include providing guidance, direction, and work and schedule coordination to assigned office staff. Each judicial assistant level differs from the preceding one by the more advanced level of work and the more limited review of work. This position requires the exercise of judgment in accordance with instructions, rules of court, state statutes, and court and office policies and procedures. Work is reviewed in progress and upon completion for accuracy, completeness, timeliness, and adherence to guidelines and requirements. Essential Functions Any one position may not include all the duties listed, nor do the examples cover all the duties which may be performed. Prepares a variety of forms, records, statements, correspondence, brochures, notices, reports, and other documents from notes, rough drafts, verbal instructions, dictating equipment, live statements, or established procedures; researches, identifies, verifies, and gathers information; handles confidential information; creates and formats reports, brochures, newsletters, and other documents and presentation materials; maintains web page information; composes some correspondence independently. Sets up, organizes, and maintains records; maintains a complex record, filing, and statistical system; maintains databases and spreadsheets; updates, consolidates, and closes files; assigns files; prepares and distributes case status reports; monitors cases; prepares, updates, and maintains computerized system data; researches and resolves system data problems. Assists in a variety of operational, personnel, budget, and payroll activities; informs the supervisor and others of personnel, budgetary, and other matters needing attention; assists in keeping office productively equipped and organized; recommends, implements, and explains improvements in office policies and procedures. Maintains calendar of meetings, conferences, and activities; schedules appointments, meetings, and reservations; appraises the supervisor and others of scheduling; coordinates, compiles, and prepares necessary agendas and materials; attends meetings; takes minutes at meetings; arranges for facilities; makes travel arrangements Coordinates and performs receptionist duties; receives, researches, and provides information, in person, by telephone, or by mail or email; processes forms; verifies documents; logs requests; schedules judges, court reporters, interpreters, mediators, and bailiffs; interprets and explains procedures and policies; refers more complex or sensitive inquiries to the supervisor or an appropriate official; makes and certifies copies; screens calls and takes complete and accurate messages. . Requisitions supplies, equipment, and services; researches, verifies, and processes payments for services rendered; prepares, updates, and maintains records and inventory; assists in preparation of the budget; reviews and monitors expenditures and budget accounts. Provides guidance, direction, and workload and schedule coordination ; answers frequently asked questions, and changes in office and court policies and procedures that impact the work; interviews and trains staff; assigns, prioritizes, and inspects work; ensures staff are familiar with important information Knowledge, Abilities, and Skills Knowledge of business English, arithmetic, and modern office practices, procedures, methods, and equipment. Knowledge of computerized office programs. Knowledge of basic bookkeeping practices and procedures. Knowledge of legal terminology and format, rules of court, state statutes, and court and office policies and procedures of the area assigned. Ability to make arithmetic computations and tabulations accurately. Ability to maintain clerical records, assemble and organize data, and prepare reports from such records. Ability to understand and carry out complex verbal and written instructions. • Ability to communicate clearly and concisely, both orally and in writing, with a diverse group of people. Ability to operate a calculator, fax machine, scanner, and other office equipment. Ability to operate a personal computer with word processing software. Ability to establish and maintain effective working relationships with co-workers, attorneys, representatives of other agencies, and the general public, the media, and occasionally angry and volatile individuals. Ability to recognize and maintain the need for confidentiality in work assignments. • Ability to organize and prioritize work, execute tasks promptly as assigned, be self-directed and well-organized, work well under pressure, and meet deadlines. Ability to provide guidance, direction, and assistance to co-workers. Skill in the operation of a keyboard and transcribing from machine dictation. Working Conditions Positions require activities such as sitting for long periods, standing, bending, stooping, reaching, climbing stairs, lifting, moving and carrying objects of light to medium weight, and operating office equipment. Physical Demands The work is performed primarily in an office environment and involves exposure to normal, everyday risks which require normal safety precautions typical of offices. Qualifications Any combination of training and work experience which meets CSCJ policies and indicates possession of the knowledge, abilities, and skills listed above. An example of an acceptable qualification for this position is: Possession of an undergraduate degree from an accredited college or university in business, secretarial sciences, or a related field; or A diploma from an approved high school or vocational school in business, secretarial sciences, or a related field, and four years of experience at the previous judicial assistant level. Licensure and Certification None required.
