out of 5 stars McDonough, GA 30253 JOB The purpose of this position is to provide specialized administrative and clerical support to an assigned judge in an assigned court.

EXAMPLE OF DUTIES

Provides administrative/clerical support for an assigned judge in an assigned court; processes a variety of documentation associated with court operations within designated timeframes, and per established procedures, such as bench warrants, code enforcement and animal control citations, disorderly conduct citations, inmate transfer requests, and related documentation; works with administrative/clerical staff within the assigned court or other courts to ensure uniform and cooperative work efforts; and maintains confidentiality of documentation and issues. Relieves assigned judge of routine administrative tasks; screens telephone calls, mail, and other communications, and initiates appropriate action/response; records dictation; types, composes, types, edits, or proofreads correspondence on behalf of judge; records and/or transcribes correspondence, statements, minutes, or other information; and keeps judge informed of significant matters, messages, documentation, or other information.

Coordinates the judge’s schedule; schedules cases for trial; creates, maintains, and distributes calendar; verifies holidays and includes trials, motions, and hearings; prepares and mails notices for calendars to all involved parties; interacts with parties regarding scheduling issues or conflicts; and appears in court for arraignment and calendar call.

Coordinates daily operations of assigned judge’s office to facilitate proper court administration; assists judge with legal documents and research; prepares and maintains calendars; coordinates with other County staff and departments regarding the calling of required jurors, transfer and attendance of inmates, and other court activities; makes accommodations for media when necessary; and attends court to assist judge with courtroom proceedings and related issues. Compiles, monitors, and maintains information regarding cases; monitors case counts and status; attends court proceedings; tracks court rulings; and updates calendars with case status as needed. Performs data entry in specialized program applications; scans, indexes, and records court case information and/or legal documents; audits and reviews data for accuracy; and maintains accurate records and filing systems. Serves as liaison between judge and attorneys, staff, litigants, other departments/agencies, and the general public; provides information regarding court calendars and proceedings; responds to mail, email, and phone calls; receives and logs payment for fees and fines; coordinates community service for defendants; and maintains high visibility and confidentiality. Interacts with all levels of government in a way that promotes respect, encourages cooperation, and contributes to excellent performance. Communicates accurate information to all other court personnel, the public and defense bar in a professional and courteous manner that conveys a willingness to assist. Uses appropriate established channels of communication.

Processes a variety of documentation associated with department/division operations, within designated timeframes, and per established procedures; receives and reviews various documentation; reviews, completes, processes, forwards, or retains as appropriate; prepares or completes various forms, reports, correspondence, and other documentation; compiles data for further processing or for use in preparation of department reports; and maintains computerized and/or hardcopy records. Operates a personal computer to enter, retrieve, review, or modify data, utilizing word processing, spreadsheet, database, Internet, e-mail, or other software; and operates general office or other equipment as necessary to complete essential functions. Communicates with assigned judges, other County employees, attorneys, law enforcement, the public, and other individuals as needed to coordinate work activities, review status of work, exchange information, or resolve problems.

Performs other related duties as assigned.

SUPPLEMENTAL INFORMATION
Knowledge, Skills, and Abilities:

Knowledge of local government operations, juvenile court related programs, policies and plans, and modern office practices and procedures.

Knowledge of Microsoft Word, Excel, PowerPoint, and other similar programs.

Knowledge and understanding of the O.C.G.A. (Official Code of Georgia) in regard to jurors and jury duty. Skill in the use of computers and software applications related to the essential functions of the job. Skill in effective communication, both verbally and in writing. Ability to meet and deal with employees and the public in an effective and courteous manner.

Ability to get along with others and work effectively with the public and co-workers.

Ability to work flexible hours, including evening meetings.

Ability to multi-task and work within deadlines.

Ability to deal with confidential and sensitive matters.

Ability to work with and process payments for accounts within the budget and department. Ability to use computers for data entry, word processing, and accounting purposes. Ability to operate a copying machine.

PHYSICAL

DEMANDSThe work is sedentary work which requires exerting up to 20 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Requires mental acuity including the ability to make rational decisions through sound logic and deductive processes, the ability to express ideas by means of the spoken word and have close visual acuity.
