Summary The Municipal Court Aide is responsible for performing assigned administrative tasks in the courtroom, including standard bailiff duties, and for providing clerical support to the Municipal Court. Essential Duties and Responsibilities Scans and indexes disposed tickets
Files all unpaid, pending and updated cases and continuances for future court sessions.
Monitors file room and systematical transfer of closed out cases and filing of pending cases.
Maintains and operates the Court’s archived file room, file retention and retrieval system by distributing files, information and documents on demand; and managing available space for proper and safe storage of Court records.
Announces to the public all general information deeded for their court appearance.
Performs assigned administrative tasks in the courtroom, e.g., signs in all defendants who will go before the judge that day, pulls and alphabetize defendant’s cases from the sign-in list, retrieves histories of driver’s licenses and car tags from the TAC clerk at judge’s request, and at the end of each court session, collects from probation services all documents that need the judge’s signature.
Ensures the transfer of all adjudicated cases to appropriate Municipal court staff during and after each court session by directing and/or escorting defendants to pay their fines or to be placed on probation.
Preserves order during court proceedings and ensures that the courtroom is left clean, the lights are turned off, and the courtroom is locked after each court session.
Responsible for taking judge’s robes to dry cleaners on an as needed basis.
Processes, updates, and monitors all in-house Community Work Service cases.
Monitors and works the new case management system’s FTA work queue to manually add FTAs to all warranted cases.
Answers the phone and works closely with Law Enforcement agencies, the public and departments within the Courthouse, and all other office visitors; providing information about citations and fines, conducting initial intake interviews, processing requests for release of confidential information, securing required authorization, preparing appropriate information for releases and delivering good customer service. Receives and records fines and cash bond payments, for maintaining files relative to the same, handling continuances, handling DPS 912’s, NSF’s, and issuing subpoenas. Processes citations, deprivation and delinquent petitions and motions; enters data into computer database; sets hearing dates and assigns cases to appropriate calendar; processes cases transferred from other courts. All either at the window, by U.S. mail, e-mail, and by drop box along with balancing the daily receipts.
Maintains and operates the Court’s separate Court Order filing system; receives and processes court orders signed by the judge; files and distributes certified copies as needed.
Reviews and disseminates Blight Orders and Judgement issued by the Municipal Court Judge.
Reviews and disseminates Blight Motions and Notices filed by the Assistant County Attorney.
Serves as a backup to courtroom clerk in their absence.
Provides ad-hoc support to the Deputy Municipal Court Clerk (Finance). Education, Training and Experience The Municipal Court Aide should possess, at a minimum, a high school diploma or GED; or any equivalent combination of education and experiences which provides the required knowledge, skills, and abilities to successfully perform the duties and responsibilities of the position.

NECESSARY SPECIAL REQUIREMENTS

Must be able to type 30 words per minute.
Possession of a valid Georgia Motor Vehicle Operator’s License. Knowledge, Skills, and Abilities The Municipal Court Aide must be knowledgeable of the following principles, procedures, and concepts: Knowledge of routine court procedures and practices.
Knowledge of modern office practices and procedures.
Knowledge of personal computers and relevant office software.
Ability to follow oral and written instructions.
Ability to deal tactfully with the public and to enforce court orders firmly and courteously.
Ability to maintain effective working relationships with all court employees and the general public.
Knowledge of bookkeeping principles and practices.
