REPORTS TO
: Magisterial District Judge, generally and to the Court Administrator for certain administrative duties relating to the 16th Judicial District.
POSITION OVERVIEW
: This position is a full time position, required to work as a county employee under the courts direct supervision. This position is At Will, where the President Judge or designee hires and fires. The Court has a Code of Conduct required for all court employees. A high degree of professionalism is expected. Duties include but not limited to: constant interaction with case participants, counsel, law enforcement agencies, and the general public both in person and by telephone, many other county and court employees along with staff from the Administrative Office of Pennsylvania Courts (AOPC). Daily case processing of Traffic, Non-Traffic, Landlord/Tennant, Civil and Criminal case types, receipting and distribution of funds, case accounting, work flow assignments, daily deposits. Independent assignments of responsibilities may be assigned as directed by the judge.
EDUCATION / EXPERIENCE
: Any combination equivalent to education and experience that provides the required skill and knowledge is qualifying. Typical qualifications would be equivalent to: Completion of a high school diploma One year of experience performing moderately complex clerical or secretarial work, preferred.
EMPLOYMENT STANDARDS
To perform this job successfully and independently, an individual must possess the ability to thoroughly grasp the principles and practices of the magisterial district court. Training will be provided to learn the Pennsylvania Magisterial District Judge System computer. Mandatory training in Mechanicsburg is required. An individual must possess the ability to pay acute attention to detail, and possess a knowledge of English, spelling, and punctuation; required to learn legal terminology; a general knowledge of the operations and procedures of the civil and criminal court systems; the ability to independently compose replies to routine correspondence; the ability to maintain records and prepare reports; the ability to understand and follow oral and written instructions; and the ability to establish and maintain effective working relationships with judicial authorities, attorneys, and the general public.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Review incoming citations and complaints for completion of information and correct jurisdiction,
- Operate the MDJS to docket citations, complaints, and enter any other type of process necessary for court operations,
- Operate a facsimile machine, manual typewriter, and credit card machine
- File all necessary documentation accurately,
- Assist every individual in person or on the telephone with routine questions and direction
- Schedule all types of hearings, process all daily notices, releases, commitments, warrants, subpoenas, affidavits etc. that are required
- Process payments and perform routine accounting functions in the MDJS,
- Process certified mailing on criminal and civil complaints, notices of hearings, decisions, and court orders,
- Prepare daily and monthly reports, balance daily and monthly financials,
- process mail daily,
- Report and/or manage facility maintenance
- Perform any other clerical request that is required.
