Full Job Description Position Summary:
Assists the Executive Director in the operation and management of the community in accordance with the policies and procedures and federal/state/local laws and regulations, included, but not limited to, the following responsibilities listed below.
Essential Duties & Responsibilities:
The following duties are normal for this position. This list is not to be construed as exclusive or all inclusive. Other duties may be required and assigned. First point of contact for the community with all prospects and third-party referral sources. Ensure timely and consistent follow-up with all potential resident families. Ensures all marketing and community relations communications are accurately and timely notated in the marketing database system. Responsible for maintaining marketing and sales collateral inventory. Work with the staff to coordinate community tours and assessments, and assist in conducting community tours. Conduct community tours when the Admissions Director is unavailable to do so. Provides the Executive Director with accurate and timely sales and marketing information. Monitor, purchase, stock, and maintain department supplies within budget. Assist with accounts receivable and payable processing. Assist and fill in as telephone/office receptionist as necessary. Maintain and safeguard the property of the community. Will provide direct patient care when needed to meet the needs of the community Dependable and able to meet schedule requirements, attendance, and punctuality. All other duties assigned by Supervisor.
Supervisory Responsibilities:
The position falls under the direct supervision of the Executive Director and is expected to perform independently and exercise good judgement. The position does not supervise other associates.
Qualifications:
To perform this job successfully an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and abilities required.
Educational Requirements and Experience:
2 years of experience working in an office setting. Associate degree from an accredited university preferred. Valid driver’s license.
Knowledge, Skills, and Abilities:
Strong organizational skills, detail-oriented, multi-tasker. Strong verbal, written, and listening communication skills. Strong customer service skills – both internal and external. Medical Terminology strongly preferred Initiative and drive to continuously improve. Ability to multi-task in high paced environment Must have an overall “caring” personality and attitude. Ability to maintain employee and resident confidentiality Clear understanding of the problems of aging and interested in creating an atmosphere of continuous improvement in health, wellness, and life quality among all members of the Community family.
Technical Skills:
Competent in Microsoft Office 365 including Word, Excel, Outlook. Familiarity with A-Line is a plus. Must have ability to learn and use it proficiently.
Physical/Sensory:
Daily throughout the workday: Must be capable of sitting, standing, walking, climbing stairs, reaching, turning, bending, stooping, crouching, and kneeling, reaching over the head, grasping with both hands, and fine manipulation. Must physically be able to lift up to 50 pounds regularly. Must have normal eyesight or use corrective lenses. Must have three-dimensional vision and ability to judge distances and spatial relationships so as to see objects where and as they actually are. Must be able to recognize colors. Must be able to hear and distinguish between normal tones and be able to perceive the nature of sounds. Must be able to exchange ideas by means of spoken word as well as engage in activities to convey detailed or spoken instructions to other workers accurately, loudly, and/or quickly. Must have a normal sense of touch and smell.
Environmental Adaptability:
Works in well-lighted, well-ventilated building. Subject to frequent interruptions. Subject to hostile or emotionally upset individuals. Must be willing to work, when necessary, beyond normal working hours and on weekends, as well as in other positions as necessary. The position required exposure to some risk to physical and/or mental health and safety (i.e., physical assault, communicable disease, etc.)
