Job Description

Administrative Assistant City of Enterprise, AL Enterprise, AL 36331 JOB The Administrative Assistant provides essential administrative and clerical support to the Mayor’s Office. This position supports the daily operations of the office through scheduling, document management, and public interaction. In addition, the Administrative Assistant will assist the Director of Public Information with correspondence as well as maintaining the City’s website, supporting social media efforts, and creating basic graphics or digital content as needed.

EXAMPLE OF DUTIES

Job Responsibilities Include, but are not Limited to the FollowingAnswer incoming phone calls and greet office visitors; provide information or direct inquiries appropriately.

Manage calendars, schedule meetings, and coordinate travel arrangements for the Mayor and executive staff.

Prepare, proofread, and distribute letters, reports, and meeting materials.

Assist with preparing agendas for council and board meetings; schedule meeting spaces and coordinate logistics.

Open, sort, and distribute mail and incoming correspondence.

Maintain organized filing systems and records, both digital and paper-based.

Perform general clerical duties, including copying, scanning, data entry, and supply ordering.

Assist the Director of Public Information with updating website content and ensuring links and pages are current.

Help create and schedule basic social media content using provided templates or guidance.

Provide support in creating flyers, graphics, or promotional materials using design software or online tools.

Monitor city social media pages and websites for outdated content or basic user engagement needs.

Maintain and update City of Enterprise event calendar.

Assist with special events, press briefings, or photo opportunities as requested.

All other duties as assigned. ACCOUNTABILITYMayor, City Administrator, and Director of Public InformationRESPONSIBILITYRequires close cooperation and interaction with the Mayor, City Administrator, Director of Public Information, co-workers, and the general public.

Work EnvironmentThis position will perform work in an office environment using standard office equipment such as computers, phones, fax machines, and photocopiers.

SUPPLEMENTAL INFORMATION
Education and Experience:

High school diploma or equivalent required.

At least three (3) years of administrative experience in an office setting.

Valid driver’s license or ability to obtain one.
