We are seeking a highly organized and proactive Office Assistant to join our team at a reputable Paver Installation Construction Company. As an Office Assistant, you will play a vital role in ensuring the smooth operation of our office and administrative processes. Your attention to detail and excellent communication skills will contribute to our overall success.

Responsibilities:

1.

Answering Calls and Emails:

Respond promptly and professionally to incoming calls and emails, providing exceptional customer service and addressing inquiries or redirecting them to the appropriate team members. 2.

QuickBooks Data Entry and Bill Payment:

Accurately enter and pay bills using QuickBooks software, ensuring all financial transactions are properly documented and recorded. 3.

Pay Applications and Invoices:

Prepare pay applications for project progress billing, generate and send invoices, and follow up on outstanding payments as necessary. 4.

Job Costing Reports:

Utilize QuickBooks to provide detailed job costing reports, analyzing project expenses, labor, and materials to help management make informed decisions. 5.

Task and Job List Maintenance:

Assist in maintaining task lists, schedules, and job files, ensuring all documentation is up to date and easily accessible for the team. 6.

General Administrative Support:

Provide general administrative support, including filing, document management, record keeping, and inventory management.

Requirements:
  • High school diploma or equivalent; additional relevant certifications or training is a plus.
  • Proven experience as an office assistant, administrative assistant, or similar role.
  • Proficiency in using QuickBooks software for bill payment, invoicing, and generating reports.
  • Strong attention to detail and accuracy in data entry and record keeping.
  • Excellent communication skills, both written and verbal.
  • Exceptional organizational and time management abilities.
  • Ability to work effectively both independently and as part of a team.
  • Proficiency in MS Office Suite (Word, Excel, Outlook) and general computer skills.
