We are seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive support to an executive leader in our faith-based organization. The ideal candidate will play a vital role in ensuring the smooth functioning of operations while fostering the organization’s core values and mission. This position requires a professional who is proactive, service-oriented, and is comfortable working in a faith-based environment.
Key Responsibilities:
Administrative Support:
Manage and maintain the Manager’s calendar, including scheduling meetings, appointments, and travel.
Act as the primary point of contact between the executive and internal/external stakeholders.
Prepare reports, presentations, meeting agendas, and correspondence as needed.
Administrative Duties:
Draft and edit written communications, ensuring all materials align with the organization’s faith-based values.
Organize and maintain confidential records, files, and documents.
Coordinate logistics for events, including board meetings, community outreach programs, and donor engagements.
Mission Alignment:
Actively demonstrate the organization’s values in all interactions and work processes.
Ensure that communications and initiatives support the faith-based mission and ethical standards of the organization.
Stakeholder Management:
Collaborate with other staff and volunteers to support the executive’s priorities and initiatives.
Build positive relationships with organizational partners, donors, and members of the community.
Problem-Solving and Resource Management:
Handle inquiries independently, escalating issues to the executive as appropriate.
Manage expenses and prepare expense reports with accuracy and timeliness.
Qualifications:
Educational Background:
High school diploma required; associate or bachelor’s degree preferred.
Coursework or certifications in administrative support, project management, or faith-based leadership are a plus.
Professional Experience:
A minimum of 3 years of experience as an administrative assistant, with prior experience supporting executives preferred.
Technical Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience with scheduling tools, donor management systems, and video conferencing platforms.
