Key Responsibilities Manage and organize office operations and procedures to ensure efficiency and effectiveness. Schedule appointments and maintain calendars for staff and executives. Prepare and edit correspondence, reports, and presentations with attention to detail. Handle incoming and outgoing communications, including emails and phone calls, in a professional manner. Maintain and update filing systems, both electronic and physical, ensuring easy retrieval of information. Assist in the preparation of regularly scheduled reports and presentations. Order office supplies and manage inventory to ensure smooth office operations. Provide general support to visitors and act as the point of contact for internal and external clients. Liaise with executive and senior administrative assistants to handle requests and queries. Required Qualifications High school diploma or equivalent. Proven experience as an administrative assistant or office admin assistant. Proficiency in MS Office (MS Excel, MS Word, and MS PowerPoint), as well as the Google Suite of Services (Gmail, Google Drive, Google Docs, Google Sheets, Google Presentation). Excellent time management skills and the ability to prioritize work effectively. Attention to detail and problem-solving skills. Strong organizational and planning skills. Excellent written and verbal communication skills. Ability to handle confidential information with discretion. Preferred Qualifications Associate’s degree or higher. Familiarity with office management systems and procedures. At least 4 years of experience in Administrative experience and clerical procedures. Knowledge of office equipment, like printers and VoIP phones. Working Conditions Full-time position based in Birmingham, AL. Standard office hours, Monday through Friday.
