Administrative Assistant –
Grants Department Position Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant to support our Grants Department. The ideal candidate will play a critical role in ensuring the efficient functioning of the department by managing administrative tasks, maintaining records, and assisting with the grant application and reporting processes. This role requires excellent communication skills, the ability to prioritize assignments, and proficiency in relevant software and tools.
Key Responsibilities:

Administrative Support:
Provide day-to-day administrative support to the Grants Department, including managing calendars, scheduling meetings, and preparing correspondence. +
Documentation and Records:
Maintain accurate and organized records of grant applications, contracts, and reports, ensuring compliance with internal and external standards. +
Grant Applications Assistance:
Assist with compiling, proofreading, and submitting grant applications and proposals, ensuring all required documentation is included and deadlines are met. +
Budget Support:
Help track and monitor grant budgets, expenses, and expenditures, ensuring alignment with approved funding guidelines. +
Database Management:
Use CRM, ERP, or other database software to manage grants-related data and generate reports as needed +
Communication:
Serve as a point of contact for internal and external stakeholders, responding to inquiries and providing updates on grant statuses. +
Compliance Support:
Assist the team in ensuring grant compliance by tracking reporting deadlines and preparing necessary submissions. +
Process Improvement:
Recommend and implement administrative process improvements to increase efficiency within the department. +
General Administrative Duties:
Handle incoming calls, emails, and paper correspondence; order office supplies for the department; and coordinate travel or event logistics as needed.

Education:
High school diploma or equivalent required; associate or bachelor’s degree preferred. +
Experience:
At least 2 years of administrative experience, preferably in a grants, nonprofit, or government setting +
Technical Skills:
Proficiency in Microsoft Office Suite, including advanced Excel skills (e.g., pivot tables, formulas). Familiarity with CRM or ERP software, or willingness to learn +
Organizational Skills:
Exceptional ability to organize, prioritize, and multitask in a fast-paced environment. + Attention to
