Administrative Virtual Assistant MW/Davis Dumas & Associates, Inc Hoover, AL 35244 We are seeking a highly organized and proactive Administrative Virtual Assistant to support our growing operations remotely. Key Responsibilities:
Manage and organize calendars, schedule appointments, and coordinate meetings across multiple time zones. Handle email correspondence, prioritize messages, and draft professional responses on behalf of team members. Prepare and edit documents, reports, presentations, and spreadsheets with accuracy and attention to detail. Maintain and update databases, CRM systems, and digital filing systems for easy access and retrieval. Coordinate travel arrangements, including booking flights, accommodations, and itineraries. Assist with project management by tracking deadlines, deliverables, and team progress. Conduct research and compile data as needed to support decision-making processes. Provide customer service support by responding to inquiries and resolving issues promptly. Perform basic bookkeeping tasks, such as expense tracking and invoice preparation. Collaborate with team members to streamline processes and improve operational efficiency.
Qualifications:
Education:
High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration or related field preferred.
Experience:
Minimum of 2 years of experience in an administrative or virtual assistant role (remote experience is a plus).
Technical Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and project management tools (e.g., Trello, Asana, or Monday.com). Familiarity with CRM software (e.g., Salesforce, HubSpot) is a plus.
