IDEA Compliance Secretary Supervisor:
Exceptional Education Director, Exceptional Education Assistant Director Job Goal:

To ensure the accurate and efficient operation of exceptional education testing, data management, and reporting.

Minimum Qualifications:

High school diploma. Successful office work experience. Ability to meet the suitability criteria for employment and/or certification licensure under the Alabama Child Protection Act of 1999 and Act No. 2002-457. Proficiency in oral and written communication skills; proficient data entry, transcription, and office machine operation skills. Effective interpersonal skills, with an emphasis on communication and collaboration with a wide variety of people and groups. Ability to work collaboratively as a productive team member. Ability to use technology to communicate, to manage data, and to produce/submit required reports, correspondence, and/or financial information. Physical strength, mobility, dexterity, stamina, and acuity to perform job responsibilities. Ability to be punctual and in regular attendance. Such alternatives to the above qualifications as the Board may require.

Performance Responsibilities and Essential Functions:

Demonstrates support for the school system and its vision, goals and priorities. Performs regular office duties associated with the operation of the Exceptional Education Department including answering and routing telephone calls; receiving, opening and routing incoming correspondence; composing and disseminating memos, letters, reports, and other departmental communications; and, maintaining tracking logs, mileage records, professional development records, and records of eligibility decisions. Accurately transcribes taped IEP meetings and parent conferences. Completes records requests from other LEAs; coordinates and fulfills records requests from physicians, other LEAs, agencies, and attorneys. Coordinates records for due process hearings. Maintains and implements the destruction of records schedule. Coordinates department records with disability determination reports. Maintains required files for students with disabilities, including, but not limited to, Child Find, initial referrals, individual testing, eligibility placement, discipline, teacher rosters, closed cases, transfers and any other necessary information. Maintains data and generates reports related to child count for federal funding, SDE annual data report, Lee v Macon tracking logs, LEA Compliance Plan, Follow-up Follow-along Tracking Log, and end of the month reports. Maintains, updates and distributes personnel schedules for department personnel as assigned. Orders and receives department equipment and supplies; maintains inventory of department equipment and supplies. Processes and submits monthly attendance and mileage reports for the department staff. Maintains library of testing equipment and supplies, reference materials, curriculum, test protocols, audiology equipment, assistive technology equipment, large print books, and vision equipment. Coordinates, processes, and maintains CBI requests, Special Olympics events documentation, field trip requests, and CBWI. Maintains and implements software and data for the Special Education Tracking Program (SETS). Attends staff meetings, workshops, and professional organization meetings for staff development. Maintains confidentiality regarding school/workplace matters in accordance with state and federal law. Demonstrates initiative in identifying opportunities for improvement in areas of responsibility. Demonstrates professional ethics and effective leadership. Attends conferences and training sessions to improve skills and programs. Responds to inquiries and requests in a timely and positive manner. Maintains and submits required reports, records, and correspondence in a timely and accurate manner. Properly cares for equipment and material resources of the school system. Uses effective collaboration skills to work as an effective team member. Adheres to school system rules, administrative procedures, local Board policies, and state, federal, and local laws. Reports absences and takes leave in accordance with Board policies and procedures. Performs any other job-related duties as assigned by Supervisor(s).
