Job Description

Program Administrative Assistant Diabetes Research Unit 1808 7th Avenue South, Birmingham, AL 35233 Project Administrative Assisstant Diabetes Research Unit at Birmingham, AL are currently looking for a Project Administrative Assisstant to join our team. This position will report directly to the Program Directors (PD). The ideal candidate will have a passion for diabetes research and the ability to get things done. This position will be responsible for working with PDs to ensure team success.

Essential Functions:

Manage multiple projects from start to finish Administrative and secretarial support to the PDs Set up calendars on outlook, set up zoom meetings travel booking with UAB travel and related work, submit trips, reimbursements done for UAB business card purchases take dictation, write minutes of meetings, work with minimal direction Prepare NIH biosketches, CVs assist in submission of manuscripts, manage ENDNOTE (Ref library) assist with grant submissions including formatting word documents, collating, obtaining support letters, tracking, reporting, and compliance. Maintain Federal and non federal project files in multiple cloud based platforms (Dropbox, Google Drive, Box, etc.) Coordinate emails with external collaborators for setting up scientific meetings, teaching/education projects under supervision of PDs Coordinate with external vendors (i.e. external labs) for purchase orders and get them reimbursed, paid up maintain monthly financial/spending balance sheets order lab supplies Coordinate with housekeeping, phone, IT and other office related support for PD and staff

Requirements:

Bachelor’s degree in health care field minimum required a nd two (2) years of related experience required. Work experience may NOT substitute for education requirement. 2+ years of experience working in a secretarial, administrative capacity ; Strong written and oral skills required. Good communication, able to problem solve, work with various teams. Typing skills required, good command of Microsoft office and other lab ordering systems.
