Service Coordinator 3.0 3.0 out of 5 stars Irondale, AL 35210 Job Summary The Pump Service Center Coordinator is responsible for managing the daily workflow and providing administrative and operational support for the pump service center. This position plays a key role in ensuring the timely and accurate coordination of repair and maintenance services, both in-house and in the field. The coordinator works closely with technicians, customers, and vendors to ensure high-quality service delivery, maintain job documentation, and keep operations running smoothly and efficiently. This role requires exceptional attention to detail, strong organizational and communication skills, and a proactive approach to problem-solving. The coordinator is expected to handle a variety of responsibilities ranging from scheduling and quoting to customer communication and job tracking.
Note:
This position reports directly to the Service Manager, although the reporting structure may be modified based on business needs. Required Qualifications High school diploma or equivalent. Minimum of two years of experience in service coordination, dispatch, or an administrative role within an industrial or mechanical service environment. Strong organizational skills with the ability to manage multiple tasks and shifting priorities. Proficiency in Microsoft Office (Word, Excel, Outlook). Exceptional attention to detail and the ability to follow highly specific quoting guidelines. Strong verbal and written communication skills for interacting with customers, technicians, and vendors. Ability to maintain detailed schedules and accurate service documentation. Preferred Qualifications and Skills Associate’s degree or technical certification in a relevant field. Experience with P21 (Prophet 21) or similar ERP/service management software. Familiarity with pumps, rotating equipment, or related industrial service operations. Ability to think creatively and solve problems independently. Customer service experience in a fast-paced or service-oriented environment. Punctual, self-motivated, and eager to learn more about the pump and equipment service industry. Demonstrated flexibility and a collaborative mindset in team-based environments. Key Responsibilities Receive and process incoming pump service requests and generate accurate work orders. Schedule and dispatch service technicians for both field and in-shop repairs. Maintain a detailed log and calendar of outside service technician assignments. Serve as the main point of contact for customers, providing timely updates and obtaining approvals for service work. Track and monitor the progress of all active jobs to ensure timely and accurate completion. Keep thorough records of service history, including technician hours, parts used, and billing details. Prepare service quotes and cost estimates based on highly specific internal pricing guidelines. Monitor inventory levels and coordinate with purchasing when stock replenishment is needed. Ensure all service operations adhere to company safety and quality standards. Generate service performance reports and assist management in identifying areas for improvement. Answer phones and emails promptly and professionally while greeting customers and prospective clients.
