Position Summary:

We are seeking a highly motivated, detail-oriented Experienced Administrative Assistant to join our nonprofit team. The ideal candidate will be a proactive self-starter who thrives in a fast-paced, mission-driven environment. This role requires strong organizational skills, excellent communication, and the ability to handle multiple priorities with accuracy and professionalism.

Key Responsibilities:
Administrative Support:

Perform general administrative tasks, including filing, scanning, and maintaining organized records (both physical and digital). Draft, proofread, and edit documents, reports, and correspondence. Answer phones, route calls, and manage general inquiries with a high level of customer service.

Data Management & Research:

Enter and maintain accurate data in organizational databases. Conduct internet-based research and compile findings into clear, actionable summaries.

Accounting & Financial Support:

Assist with basic bookkeeping tasks, including invoice tracking, expense reporting, and reconciliation. Support budget monitoring and documentation for program activities.

Program Assistance:

Assist with planning, coordination, and execution of nonprofit programs and events. Help manage participant communications and logistics.

Scheduling & Logistics:

Coordinate and schedule meetings, prepare agendas, and record minutes. Arrange travel and accommodations for staff, board members, and partners.

Office Management:

Maintain inventory of office supplies and equipment. Liaise with vendors and service providers as needed.

Qualifications:

Minimum of 3 years of administrative experience, preferably in a nonprofit or fast-paced environment. Strong organizational and time-management skills; ability to multitask and prioritize effectively. High level of accuracy and attention to detail. Problem-solving mindset with the ability to work independently and as part of a team. Strong written and verbal communication skills. Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with CRM or donor management systems preferred. Basic knowledge of accounting practices and bookkeeping. Ability to maintain confidentiality and professionalism at all times. Flexible, resourceful, and adaptable to changing priorities.

Preferred Qualifications:

Experience working in a nonprofit setting. Familiarity with donor databases, QuickBooks, or similar systems. Bilingual or multilingual abilities are a plus.
