EXECUTIVE SECRETARY FOR SUPERINTENDENT

Superintendent Job Qualifications:

Bachelor’s degree preferred not required. Minimum of five years secretarial experience is preferred. Computer proficiency. Must meet background clearance requirements as specified by Alabama Statutes and State Board of Education regulations.

Knowledge, Skills and Abilities:

Ability to communicate orally and in writing. Knowledge of administrative procedures and the impact on office operations. Ability to establish and maintain effective communication with Superintendent, Board members, officials, administrative personnel, employees and the public. Ability to write business correspondence and reports with proficiency in business English and spelling. Ability to define problems, establish facts, and determine practical solutions to situations. Ability to deal with irate and/or frustrated parents. Ability to diffuse tense situations and conflicts. Ability to deal with the public. Proficiency in latest technology within the district. Organizational and problem-solving skills.

Responsibilities:

Maintain a level of loyalty, ethical behavior, and confidentiality of information. Maintain good rapport with all school personnel, School Board members, and public. Maintains AASB credits for Board Members. Maintains the OCS Policy and Procedure manual. Serve as contact person for legal issues when necessary. Prepare background materials for meetings. Assist Superintendent in preparation of Board meeting notices, agendas, and minutes for distribution as required. Draft letters for review and signature. Handle phone calls and correspondence as directed. Coordinates rental of school facilities/buses and maintain associated Hold Harmless Agreements and insurance paperwork. Interact with parents, outside agencies, businesses and community. Assist in the interpretation of programs, philosophy and policies of the system to staff, students and the community. Keep supervisor informed of potential problems or unusual events. Work with system and school staff to support school improvement initiatives and processes. Attend training sessions, conferences and workshops as assigned or appropriate to keep abreast of current practices, technology, programs and legal issues. Assist in the preparation of all required reports and maintain all appropriate records. Assist in implementing the system’s goals and strategic commitment. Demonstrate initiative in identifying potential problems or opportunities for improvement and take appropriate action. Use appropriate styles and methods to motivate, gain commitment and facilitate task accomplishment. May be required to work beyond the 40-hour work week. Performs duties and represents the system in a courteous, positive and professional manner. Perform other tasks consistent with the goals and objectives of this position. Performs any other duties as assigned by administration.
