1. High school diploma or equivalent. 2. Three (3) years of secretarial experience. 3. Must meet background clearance requirements as specified by Alabama statutes and State Board of Education regulations.

REPORTS TO

: Executive Principal

TERMS OF EMPLOYMENT

: Salary and benefits shall be paid consistent with the system’s approved compensation plan. The length of the work year and hours of employment shall be those established by the system. This will be a 12-month position.

DUTIES AND RESPONSIBILITIES

1. Provide secretarial services for the principal and other administration. 2. Prepare and maintain a variety of complex records, reports, and purchase orders. 3. Provide clerical support in a multi-task work environment requiring the ability to prioritize tasks. 4. Arrange and notify personnel for attendance at meetings. 5. Communicate effectively with the public, staff members, students, parents, administrators, and other contact persons using tact and good judgment. 6. Maintain confidentiality regarding school/workplace matters. 7. Model and maintain high ethical standards. 8. Demonstrate initiative in the performance of assigned responsibilities. 9. Maintain expertise in assigned areas. 10. Participate successfully in the training programs offered to increase skill and proficiency related to assignments. 11. Participate in cross-training activities as required. 12. Keep the principal informed of potential problems or unusual events. 13. Respond to inquiries and concerns in a timely manner. 14. Exhibit interpersonal skills as an effective team member. 15. Demonstrate support for the school system and its goals and priorities. 16. Extract data and generate reports using computer software applications. 17. Answer routine non-technical questions and refer other questions to the proper department. 18. Coordinate appointments for the principal. 19. Prepare correspondence letters and memos for the principal. 20. Assist with various reports for the state department. 21. Maintain a master school calendar. 22. Distribute incoming mail, packages, and other materials. 23. Inventory and order office supplies as needed. 24. Assumes other reasonable and equitable job-related duties as assigned by the Executive Principal.

KNOWLEDGE, SKILLS AND ABILITIES

Considerable knowledge of the operations and functions of the school system. Ability to keep business and school matters confidential. 3. Ability to use business English, spelling, grammar, and punctuation. 4. Knowledge of the principles and practices of administrative secretarial work, including writing, editing, and publishing communications. 5. Ability to interpret rules, regulations, and policies, and to use mature judgment in making decisions. 6. Ability to establish and maintain effective and professional working relationships with administrative staff and the public. 7. Knowledge of basic computer operations. 8. Ability to work with and without supervision. 9. Ability to greet and deal with visitors. 10. Ability to organize and file materials effectively. 11. Ability to exercise tact, good judgment, and initiative in dealing with students, faculty, and the public. 12. Ability to follow written and oral directions. 13. Physical and emotional ability and dexterity to perform required work and move about as needed in a fast-paced, high-intensive work environment.

The performance of this job will be evaluated in accordance with provisions of the Board’s policy on the evaluation of personnel.
