Summary VCI is seeking Entry-level, qualified candidates for a Office Assistant role to work from 8:00am-1pm Monday-Friday. This is an ENTRY-Level, Part-time Position. The Office Assistant will play a key role in maintaining an organized environment that fosters productivity and collaboration.
Qualifications:
Advanced High School Diploma 1-3 years of experience in a fast-paced professional office setting highly preferred 1-3 years of customer service experience in a fast-paced environment highly preferred Personal integrity and ability to maintain confidentiality Proven computer skills (Microsoft Office, internet usage, electronic filing) Strong Organizational and Planning skills Ability to work well with people in a fast-paced environment with C-Level executives Excellent written and verbal communication skills Responsibilities Update phone lists and emergency contact information for federal employees; Assist with PowerPoint presentations; Route and track external and internal taskings; Receive document requests from the field offices; Package and utilize UPS to send materials to the field offices; Manage, distribute, and issue new supplies to new hires/contractors; Report supply usage and reordering needs to the Mission Support Assistant for inventory and purchase requirements; Review multiple conference room schedules daily and schedule requests Backup Personal Identification Verification (PIV) Trackers Conduct inventory of office equipment and supplies; Prepare and process travel arrangements; Send out calendar invites to attendees; Run PowerPoint presentations for meetings and troubleshoot audio/visual issues as they arise; Distribute, collect, and compile evaluation forms; Assist with other administrative and logistical functions, arranging furniture, inventory; Collect, Scan and track training certificates; Track required training and recertification due dates for Federal and Contract staff; Respond to EEO, FOIA, Privacy requests; Prepare, review and reconcile documentation in electronic and/or hard copy format, including editing, updating, consolidating, formatting and manipulating documents in software applications to include but not limited to Microsoft (MS) Word, Excel, PowerPoint, Publisher, and MS Visio. Develop and/or improve the quality of existing documentation for technical presentations and statistical reports in support of program management functions. Work products may be in applications including but not limited to MS Word, Excel, PowerPoint, Publisher, MS Visio, MS TEAMS and Internet browsers. Technical Skills Advanced knowledge and proficiency in Microsoft Office products Effective communication skills (both written and verbal) with the ability to prepare and make group/executive presentations Resourcefulness, initiative and skill to function in a fast-paced environment Attention to detail in goal/task accomplishment with minimal supervision Professionalism and the ability to interact effectively with others Ability to meet planned and unscheduled deadlines in a timely manner All personnel shall be able to work independently. Perform data entry tasks accurately and efficiently. Manage front desk operations, including greeting visitors and answering phone calls. Assist with administrative tasks such as scheduling appointments and maintaining office supplies. Provide exceptional customer service to clients and staff. Support the team with various office duties to ensure smooth operations. Requirements Proven experience as an office assistant or in a similar administrative role. Strong computer literacy with proficiency in Microsoft Office Suite. Excellent data entry skills with attention to detail. Strong organizational skills and the ability to multitask effectively.
