Job Summary/Basic Function:
The Attendance Clerk serves as the primary front office representative of the Elementary School, providing professional, courteous, and responsive service to students, staff, families, and community members. This position manages daily attendance records, supports school-wide communications, and coordinates front office activities to ensure an organized and welcoming environment. The role requires high emotional intelligence, attention to detail, adaptability, and the ability to handle confidential information with discretion. This position is a 12-month/year-round position with varying hours. The role may require some evening hours for special events. Minimum Qualifications
- High School Diploma/GED and 3 years of experience working in an office environment or 2 years of experience and associate degree or bachelor’s degree
- Experience should be from working in an office environment, administrative support, or similar areas
- Strong communication skills (both written and oral).
- Skill in operating standard PC software applications (word processing, spreadsheets, etc.).
- Knowledge of acceptable basic administrative techniques.
- Integrity and judgment necessary to maintain strict confidentiality at all times Preferred Qualifications
- Experience working in an attendance role at a K12 school Essential Functions and percent of time: 50% – Front desk& Visitor Services o Serve as the first point of contact for families, students, and guests, providing professional and welcoming customer service.
o Manage incoming phone calls, voicemails, and email inquiries with accuracy and discretion.
o Collect student fees and process basic forms and documentation.
o Organize and disseminate mail
o Oversee sign-in procedures, visitor badges, and safety protocols to maintain secure building access. 20% Attendance Management
- Monitor and record daily student attendance using the school’s student information system.
- Follow up with parents/guardians regarding absences, tardiness, and early dismissals; ensure required documentation is collected.
- Prepare and submit attendance reports in compliance with district policies and state reporting requirements.
- Collaborate with school administrators and other relevant stakeholders on attendance-related trends, concerns, and interventions. 20% – Administrative support
- Provide clerical assistance to administrators and support staff, including copying, scanning, organizing, and maintaining both physical and electronic student records.
- Manage routine correspondence and serve as a liaison between the administrative team and internal/external contacts.
- Schedule appointments, maintain office calendars, and coordinate meeting logistics for the leadership team.
- Screen calls, visitors, and emails for the administrative team, ensuring appropriate routing and follow-up. 10% – Other duties
- Draft, revise, and distribute written communications and documents on behalf of supervisor
- Assist with special projects/events.
