Job Summary/Basic Function:
The Office Support Specialist plays a key role in ensuring the smooth daily operations of the Elementary School’s administrative office. This position performs a wide range of administrative duties, including front desk reception, communication with families, support for school events, and coordination of building-level operations. The role also includes responsibilities in a health clinic setting, requiring discretion, responsiveness, and care when interacting with students. Strong organizational skills, independent decision-making, attention to detail, and the ability to manage multiple priorities are essential.
This position is a 12-month/year-round position with varying hours. The role may require some evening hours for special events. Minimum Qualifications
- High School Diploma/GED and 4 years’ experience working in an office environment or 3 years’ experience and associates degree or bachelor’s degree and 1 year experience
- Experience should be from working in an office environment, administrative support, or similar areas
- Strong communication skills (both written and oral).
- Skill in operating standard PC software applications (word processing, spreadsheets, etc.).
- Knowledge of acceptable administrative techniques
- Integrity and judgment necessary to maintain strict confidentiality at all times Preferred Qualifications Experience working in a K12 environment Essential Functions and percent of time:
- 50% – Front desk & Visitor Services
o Serve as the first point of contact for families, students, and guests, providing professional and welcoming customer service.
o Manage incoming phone calls, voicemails, and email inquiries with accuracy and discretion.
o Collect student fees and process basic forms and documentation.
o Oversee sign-in procedures, visitor badges, and safety protocols to maintain secure building access.
- 20% – Health Clinic Support
o Provide routine coverage in the school’s health clinic under the guidance of the school nurse or administrator.
o Assist students with minor needs and maintain accurate documentation of visits and supplies.
o Support health-related communication with families, including sending home notices and managing clinic logs. - 20% – Operational support
o Coordinate building-level programs such as the volunteer process, including tracking clearances and scheduling.
o Order and manage inventory of office and classroom supplies, as well as furniture and materials as needed.
o Communicate with vendors to obtain quotes, track orders, and support purchasing needs.
o Conduct basic research or data entry tasks to support school operations and special projects.
- 10% – Other duties
o Assist with special projects/events

Length of contract is one year, renewable, contingent upon funding.
