In-Studio, Administrative Role / Personal Assistant ( Not a Design Position ) Overview Ledgewood Fine Stationery is seeking a warm, highly organized, and tech-savvy Studio Manager to support the operational and administrative heart of our busy (and beautiful!) wedding stationery studio. This is not a design role. Instead, it’s perfect for someone who thrives on checklists, tidy systems, and managing the many behind-the-scenes pieces that bring luxury wedding paper to life. If you love order, elegance, and making things run smoothly, this might be your dream job. Key Responsibilities Shipping & Fulfillment Carefully package and mail completed wedding orders—stuff, stamp, seal, and ship with precision. Track outgoing orders and ensure delivery issues are followed up on. Maintain an organized inventory of shipping and packaging supplies. Administrative & Project Support Enter client wording into pre-designed Adobe Illustrator and InDesign templates (no graphic design involved). Update and maintain project spreadsheets and client data in Excel. Manage task boards and timelines in Trello. Generate and send invoices/estimates through QuickBooks. Client Experience & CRM Support communication workflows—send reminders, follow-ups, and updates to clients and planners. Assemble and ship client and planner welcome boxes with care. Maintain organized digital files, contracts, and client notes using Dubsado CRM. Tech & Studio Support Manage app logins and device access (iPhones, iPads, MacBooks). Assist with basic troubleshooting, updates, and studio tech needs. Keep the studio clean, stocked, and beautifully organized. Order Prep & Production Prep and organize materials (ribbons, wax seals, liners, etc.) for production. Quality check and oversee accurate assembly of invitation suites. Ensure every piece is perfect and presentation-ready before mailing. Marketing & Social Media Support Use Canva to create inspiration boards, social media graphics, and client previews. Assist with planning and posting behind-the-scenes content or Reels under guidance. Help keep Pinterest boards or content calendars organized. Personal Assistance Run occasional errands (post office, Target runs, office supply pickups). Provide day-to-day support for Frances to help both life and business run smoothly. Take out trash and recycling as needed. What We’re Looking For 2+ years in an administrative, studio, or operations support role. Detail-oriented and organized—you catch mistakes others miss. Comfortable working independently and juggling multiple tasks. Familiar with Apple products and confident using: Adobe Illustrator/InDesign (text entry only), Excel, QuickBooks, Trello, Gmail, Canva, iPhones, and MacBooks. Reliable, punctual, and kind—your presence brings calm and clarity to a busy day. Must be available to work on-site in Harvest, Alabama from 8:00 AM to 2:30 PM, Monday-Friday.
