K Plan The Position:

We are seeking a detail-oriented and proactive Administrative Assistant to join our team. The Administrative Assistant supports the Field Services Managers by handling key administrative tasks. This role is responsible for maintaining accurate records of business expenses, labor hours, and vendor records while ensuring timely documentation. Additionally, the position facilitates office coordination and delivers outstanding customer service to Clients, Vendors, and Associates.

What You Will Do:
  • Supports the pre-employment screening and onboarding process for all new hires, including submission of new hire paperwork
  • Ensures compliance with and coordinates all mandatory training, pre-employment testing, and certifications for both new hires and current associates, while continuously monitoring adherence
  • Guarantees precise recording of labor hours by properly allocating them to the designated project or account
  • Manages or supports team member time management (project time sheets, etc.); submit associate hours, time reports to payroll; job costing documentation
  • Gathers, scans, and documents expense receipts and invoices, ensuring they are accurately logged to the correct accounts for reimbursement
  • Partners with leadership to ensure materials and supplies are available for projects and orders through Procurement
  • Acts as liaison, provides support or functional advice as it pertains to HR, Safety, IT, directing team member inquiries, completing documentation, obtaining information or security clearances, safety records reviews, etc
  • Provides general office coordination and administration, supports team members with general inquiries, and office processes
  • Manages the Certificate of Insurance (COI) process and vendor compliance in applicable system (e.

What You Bring:
