https://careers.evonik.com/en/about/meet-the-team/ The Document Management & Services Coordinator will provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. May also train and supervise lower-level clerical staff.
RESPONSIBILITIES
Responsible for maintaining all files both physical and electronic for EHSSQ
- utilizing one system for all required records. All records will be maintained per the Evonik Records Retention Policy. Acts as the Document Control Coordinator for EHSSQ which involves assisting in reviewing and updating procedures/manuals to keep current with site requirements. Responsible for updating procedures through Open Text
- all changes and revisions will be managed through this role including managing any additional support Communication focal point for EHSSQ
- ownership of Teams, One Note.
Responsible for scheduling and recording of meeting minutes and action items for EHSSQ Department meeting, EHSQ Site Meetings, Superintendents meetings, Community meetings and other EHSQ initiatives determined by Department Manager. Issues all Purchases Orders and manages outline agreements (OA’s) and vendors for the entire department. Tracks all third-party work, commitments and spend remaining
- monthly updates.
REQUIREMENTS
High School Diploma required Experience in a fast paced manufacturing environment strongly preferred. Minimum of two years office experience required. Must be able to relate in a professional manner to co-workers and outside contacts in person and by telephone and/or written correspondence. Should have good organization skills and be a self-starter. Must be advanced or Intermediate skill level in Computer Based-Programs (Microsoft Word, PowerPoint, skype, Excel, Microsoft Teams, SharePoint, Open Text, Ariba, and SAP) Typing 40 wpm or more.
