Office Administrative Assistant Overview The Office Administrative Assistant will support the daily operations of the manufacturing facility’s office. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. The successful candidate will ensure smooth office operations, maintain records, handle correspondence, and provide administrative support to the facility’s management and employees. Answer and direct phone calls and emails. Greet visitors and manage the reception area. Maintain office supplies inventory and place orders as necessary. Ensure office equipment is properly maintained and serviced. Prepare, organize, and maintain files, records, and documentation. Handle confidential and sensitive information with discretion. Assist in organizing company events and activities. Facilitate effective communication among staff, management, and external partners. Assist with administrative tasks related to production, quality control, and shipping/receiving. Enter data into company systems accurately and promptly. Coordinate with suppliers and vendors for office and production-related needs. Assist with basic bookkeeping tasks, such as processing invoices and expense reports. Other job duties as directed by Site Manager or Director of Engineering Qualifications Possess a High School Diploma or equivalent, Associate’s degree a plus Minimum of two years of experience in administrative role, plus if experience in industrial environment. Fluent in both written and spoken English. Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook.) Excellent organizational and multitasking abilities. Attention to detail and problem-solving skills. Passion for doing a job well. A “self-motivated” team player. May require occasional visits to the production floor. Able to sit for extended period of times to perform desk-based tasks. Able to lift 25 pounds with reasonable accommodations to move supplies or office equipment. Must pass a background check and drug test.
