JOB DESCRIPTION

Duties include providing customer service to the public and renters for the Russell County Commission venues. Understand each venue’s basic guidelines, and to be able to answer related questions and resolve problems as they arise. Provides quality and professional interaction with the public in person and on the phone. Field general questions from the public and handle appropriately. Assisting the Manager of Human Resources with the biweekly payroll and ensuring that all employees are paid in accordance with the Russell County Commission Handbook. Administrative Daily Duties Sort and pass out mail, occasionally go to Post Office (as needed). Operates and maintains office equipment, including printers, copiers, and fax machines. Works with maintenance staff and outside vendors to ensure office equipment is in good working order and office supplies are always on hand. Presents a positive and professional image for the department and organization. Places office supply orders for Malone Office Supply and online vendors. Work closely with Human Resources to coordinate biweekly timesheets submittances. List all manual checks in spreadsheet for Commission meeting minutes (first monthly meeting) Oversees staff interactions and responds to their queries on office management issues. Coordination of outgoing mail. Other duties as assigned Venue Rental Duties Oversees venue rental use and occupancy from the public and for special events or elections. Prioritizes exemplary, positive communication skills via both other the phone and in person regarding purchasing rentals, hours of operation, facility uses and availability. Writes up rental payment deposits for Finance Director to process. Creates and maintains venue rental payments in the TeamUp online calendar or on the County’s website. Set up venue rental access codes and text or email codes prior to rental event. Annually (November and December) Make Commission Meeting Schedule, note State Holidays on the schedule. Verify the State of Alabama holiday schedule from www.alabama.gov website, print and use to create the County holiday schedule calendar. Administrator will place on Commission Agenda before December 1st Commission meeting for approval. Human Resources Duties Setup and terminate employee badge access cards through the Sheriff Office/Judicial Center Lead on the Commission Office Employee Recognition Program. Assist Human Resource Manager with the Russell County Government Employee Recognition Program. Assist with new hire onboarding experience. Coordinate and submit new employment paperwork. Schedule interviews for prospective new hires. Post job openings on the Alabama Department of Labor (AlaWorks) Post to Indeed for additional inquiries and send resumes to departments. Responsible for timely, accurately and compliantly preparing the County’s bi-weekly payroll to be processed by the Payroll Firm. Audit and process payroll documents. Process employee data for new hires and terminations, changes, and additional earnings. Verifies timekeeping records, maintains time and attendance records using paper timesheets and/or electronic time management system. Reviews payroll before submitting to Payroll Firm to ensure accuracy. Assists employees in registering for or resetting access to online portal. Work closely with the Human Resources Manager to create the salary schedule for the budget process. Work closely with Department Heads and Department Human Resources point of contacts to ensure accurate timesheets. Ensure all Human Resources forms and documents are updated and accurate. Assist Human Resources Manager with Workmen’s Compensation audit.

Required Skills and Qualifications:

Proven experience as an administrative assistant or similar role. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook.) Excellent organizational and time-management skills. Strong communication and interpersonal abilities. Ability to work independently and as part of a team. High school diploma or equivalent; associate’s degree preferred. •
