Position Summary
The Business Operations Assistant serves in the role of business operations support and cashier for the College. The Business Operations Assistant assists the Dean of Finance with fixed asset management, preparation and submission of bids and project request forms, including gathering required documentation, ensuringpliance with procurement policies and meeting submission deadlines. This position will also receive all monies due the College and is responsible for reconciliation of all cash collected and performing proper payments and receipts processes. Essential Duties and Responsibilities
Complies with all policies of the Alabama Community College System Board of Trustees, the Alabama Community College System, Central Alabama Community College, accrediting agencies and federal regulatory bodies.
Assists Dean of Finance as needed with preparation and submission of invitations to bid for college purchases inpliance with federal and state laws, as well as College policies and procedures.
Assists Dean of Finance with ensuringpliance with state laws regarding Title 39 Public Works.
Assists Dean of Finance as needed to include assistance with tagging of inventory and capital assets upon request.
Assists Dean of Finance as needed to include physical inventory observation.
Assists Dean of Finance /Maintenance with disposition of surplus inventory.
Assists Dean of Finance with risk management reporting for all fixed property.
Assists Senior Accountant with final business office review of college requisitions.
Logs all iing checks received through postal service.
Reviews and follow ups with vendors for all outstanding checks on a monthly basis.
Prepares all first and second collection notices for outstanding student balances and coordinate with outside collection agency to collect debt.
Ensures institutionalpliance with the Family Educational Rights and Privacy Act (FERPA).
Performs Accounts Payable (A/P) duties as assigned by supervisor.
Preparations of project request forms as required by the Alabama Community College System.
Serves on Collegemittees and attend meetings and professional development sessions as instructed.
Manages the issuance of gas credit cards and other approved credit cards as assigned by Senior Accountant. Serves in the role of business operations support and cashier for the College.
Ensures all monies due to the College are collected in accordance with approved policies.
Performs posting/record keeping processes in educational and finance software system.
Prepares timely bank deposits and automated accounting through College’s cash receipt system.
Reconciles all cash collected to daily cash receipt listing and bank deposit and transmit daily cash reports to the Senior Accountant.
Perform other duties as assigned.
Qualifications
Associate degree in office administration and/or business-related discipline from a regionally accredited institution is required; Bachelor degree is preferred. Two (2) years’ experience in business office/accounting, human resources, orpensation and benefit management environment is required. Ability to interact with students, faculty, staff, and the public in a professional manner is required. Demonstrated ability tomunicate effectively both orally and in writing is required. Ability to work with individuals from diverse backgrounds is required. Proficiency with Microsoft Office Suite,puter information and application systems, and educational information systems required. Ability to maintain accurate detailed cash management and business operations records is required. Ability to add, subtract, multiply and divide in units of measure, using whole number, fractions and decimals is required. Customer service experience is required. Exceptional listing, verbal, written, and interpersonal skill is required. Ability to work independently, make decisions, and attend to detail is required. Ability to work in a fast pace, high pressure environment is required. Ability to multitask and focus on customer service is required. Ability to focus on responsibilities and follow specific directions and policies in emergency situations is required. Experience with general business operations and switchboard management is preferred. Application Procedures/Additional Information
