GENERAL

DESCRIPTION OF POSITION

The incumbent is responsible for providing administrative support and assistance to the Director of Informations Systems and Technology and other Technology staff. This position would also extend excellent public relations with students, staff, parents, and other community members. Work requires coordination, administration, and monitoring of specialized and confidential activities, projects, and tasks with minimal supervision.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Organize and manage schedules for executives and team leads
Organization, scheduling and logistics for team wide meetings and special events
Draft and send internal communications
Serve as point-of-contact for Non-Tech Support questions for cross-functional inquiries
Prepare reports, memos, and presentations
Maintain and organize internal documentation repositories
Prepare meeting agendas and minutes
Organize technology for hybrid or virtual meetings
Assist with project logistics
Order office supplies and tech accessories
Manage billing, purchase cards and assist with budgets
Process expense reports and reimbursements
Assist in onboarding new hires
Coordinate building access and office tech requests
Provide direct administrative support to directors
Ensure confidentiality and proper handling of sensitive information
Assist with student/faculty travel logistics.
Maintain a high level of ethical behavior and confidentiality when dealing with students, staff, and/or parent information remaining in compliance with FERPA as it pertains to student private personal information.
Performs secretarial activity; prepares official correspondence, including form letters, emails, reports, and other materials from clear copy or rough draft
Utilizes computer programs, pull data, designs and creates forms, spreadsheets, graphics, database, and procedures for information management
Serve as the Leave Request Liaison for technology services staff.
Assist in completion and monitoring of maintenance requests
Perform routine clerical tasks (telephone, filing, mail, etc.)
Screens, responds to, and/or distributes mail as appropriate.
Attend meetings and training as directed
Present and communicate in a professional manner
Perform other tasks/duties as assigned

QUALIFICATIONS

A successful candidate must be able to perform each essential duty mentioned satisfactorily. The requirements below represent the required knowledge, skill, and/or ability.

EDUCATION AND EXPERIENCE

High school or GED, plus specialized schooling and/or on-the-job education in a specific skill area, e.g., data processing, clerical/administrative, equipment operation, etc, plus three years related experience and/or training.

COMMUNICATION SKILLS

Ability to read, analyze, and understand general business/company-related articles and professional journals; Ability to speak effectively with community stakeholders and employees.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to prepare and interpret bar graphs.

CRITICAL THINKING SKILLS

Ability to utilize common sense understanding to carry out written, oral, or diagrammed instructions. Ability to deal with problems involving several known variables in situations of a routine nature.

SOFTWARE SKILLS REQUIRED

Requires tact in discussing problems, presenting data, and making recommendations, but responsibility for action and decision reverts to others.

Regularly use complex machines and equipment (desktop/laptop computer, software, etc.)

WORKING CONDITIONS

Periodically exposed to such elements as noise, intermittent standing, walking, occasionally pushing, carrying, or lifting, but none are present to the extent of being disagreeable.
