General Manager Job Description Summary/objective:

The Engineering Administrative Assistant’s role is to provide personalized secretarial and administrative support to members of the repairs and maintenance team in a well-organized and timely manner. Duties include planning meetings, updating databases, and managing information flow to staff and clients. Such managing may include but is not limited to dispatching calls or requests to and from R&M works throughout the property, acting as the point of contact between employees and internal/external clients, sending and receiving of electronic and paper information (memos, e-mails, etc.) and drafting correspondence, reports, and other documents. This position will also be responsible for maintaining the departments inventory of tools, materials, and products. This role will coordinate with several different departments based on business demands and project requirements. Respond to all employee or guest inquiries with urgency Utilize available technology such as work order program, phones, radios, and emails to communicate property needs Maintain work order program to ensure efficiency, accuracy, proper assignment, and completion of tasks Maintain inventory and ordering needs for the Maintenance department. Monitor and return all voicemails and emails sent to the maintenance department. Monitor, maintain, and properly code all invoices related to the maintenance department and project management. Assist Chief Engineer with administrative management duties, i.e, payroll, performance reviews, time off requests, maintaining licensures and certifications. Maintains OSHA postings and trainings for property and maintenance staff as related tothe maintenance department. Assist with inspections as directed by Chief Engineer or Project Manager Fully adhere to Saybrook Point Resort & Marinas handbook, safety and operational policies Perform all other duties as needed or requested by management. Work environment Working conditions are based in a hospitality setting. Associates may be exposed to weather conditions prevalent at the time. Noise level in work environment is usually moderate. Exposure to cleaning solvents, chemicals, essential oils, and other spa related products. Physical demands To perform this job successfully, the individual must be able to stand, move, and work throughout the office area and property, including walking up to 1.5 miles, climbing stairs, and sitting at a desk or workstation for the duration of the shift. While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands and fingers, handle or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl; talk or hear; taste or smell. The associate must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by the job include close vision, distance vision, and the ability to adjust focus. Required education and experience:

High School Degree or GED Experience creating key cards and utilizing key card programs Purchasing, invoicing and inventory Intermediate to Advance knowledge of PCs, Tablets and Smartphones Basic repairs and maintenance tool(s) and equipment knowledge Preferred education and experience: Administrative and/or clerical experience Hotel industry work experience Construction industry work experience Project management experience Additional eligibility requirements Maintains all current licenses and certifications. Be familiar with all Hotel services and features, as well as local attractions and activities, to respond to guest inquiries accurately. Maintains high standards for work area and appearance and presents self in highly professional manner to staff and guest. Available days, evenings, weekends, holidays and extended hours as business dictates.
