Administrative Assistant Charles Heaven & Co. CPAs 207 Bank Street, Waterbury, CT 06702 Job Summary Charles Heaven & Co. CPAs is the oldest accounting firm in the Waterbury area. We are seeking a part-time administrative assistant for our team. This position is in-person, entry-level, and entails preparing client deliverables, light bookkeeping, and assisting with clerical tasks as necessary. Previous administrative experience in an office setting is preferred, but not required. Pay is commensurate with experience, skills, and qualifications. Duties Answer/Transfer phone calls and take detailed messages, ensuring prompt follow-up. Filing and scanning documents. Ordering office supplies as needed. Utilize Quickbooks for basic accounting tasks, including invoicing and expense tracking. Utilizing Microsoft Word and Excel for drafting/editing client deliverables. Opening, sorting, scanning, and filing mail. Organize and maintain office files, ensuring easy access to important documents. Support customer service efforts by addressing client inquiries and resolving issues promptly. Receiving & logging clients tax information and handing it to the proper accountant/staff. Processing tax returns, ensuring accuracy, completeness, and confidentiality of information for the client’s receipt. Bookkeeping tasks for the firm and a handful of clients (bank reconciliations, processing deposits and disbursements, creating invoices) Assisting with other clerical office tasks as needed. Requirements Must have a High School Diploma. Strong computer literacy skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook). Basic mathematical skills. Excellent writing and communication skills. Excellent organizational skills and ability to manage multiple tasks while maintaining attention to detail and accuracy in all tasks performed. Familiarity with or willingness to learn bookkeeping and Tax Software. Previous client interface experience is a plus.
