Front Office Coordinator/Administrative Assistant Greenwich Premier Services Co Greenwich, CT 06831 Overview A family-owned Real Estate Investment/Development Company is seeking a full-time Office Coordinator/Administrative Assistant to join their team. This person’s time will be divided between operational and administrative responsibilities. The role includes overseeing the office’s day-to-day operations and supporting various functions as needed. As an Administrative Assistant to leadership, this person will also provide calendar management, meeting coordination, event planning, and support of personal activities. The ideal candidate is organized and proactive, looking to grow professionally, and takes pride in creating a productive and welcoming workplace environment. They should be polished and professional, enthusiastic, proactive, adaptable, forward-thinking, and possess excellent interpersonal and communication skills. Responsibilities Provide administrative support to leadership, involving communications, calendar management, and other activities related to personal and professional matters as appropriate. Handles confidential and non-routine information as necessary Manage all aspects of office operations, including supplies, equipment, vendor relationships, and facility management. Welcome and direct visitors and clients Serve as the primary point of contact for internal staff and external vendors regarding office logistics. Handle calls and e-mails, including responding as authority permits, prioritizing information, and then communicating responses as directed Develop and/or maintain organized systems for document filing, recordkeeping, and compliance, including the increased use of Microsoft Teams,Zoom, Google Meets and other tools. Schedule meetings, coordinate office events, and assist with travel arrangements and other logistics as needed. Ensure the office environment is safe, clean, and aligned with company policies. Coordinate information technology support and troubleshoot basic technology issues. Performs other related duties as required. Requirements Associate’s degree required. Preferably 3-5+ years of experience in office management or administrative leadership with strong problem-solving skills. Expert in using MS Office products, including Word, Excel, Outlook, and PowerPoint. Must possess and demonstrate exceptional communication skills, including verbal and written attributes. Familiarity with office equipment, IT systems, and vendor management. Ability to work independently as required. Showcases professional decorum and discretion. Must maintain consistent office presence daily from 8:30 am to 5:00 pm. Must be able to drive and have transportation. May be required to lift up to 40 lbs. Bilingual (English/Spanish) a plus. Must be comfortable around dogs. Salary $60K – $75K commensurate with experience. Standard company benefits
