Service Coordinator Analytical & Combustion Systems 6 Berkshire Boulevard, Bethel, CT 06801 Analytical and Combustion Systems (ACS) is seeking a skilled individual to take on the role of Service Coordinator at their Bethel-based office. This person would be responsible for managing the logistics of service technicians, both locally and internationally, within a dynamic office setting. Given the nature of ACS’s business, experience with commercial and industrial boilers, controls, fuel oil systems, and related equipment would be highly valuable. The ideal candidate would possess excellent organizational skills, the ability to thrive in a fast-paced environment, and a professional demeanor. They should be adept at coordinating schedules, communicating effectively with technicians and clients, and ensuring that service appointments are efficiently arranged and executed. The job duties of the Service Coordinator at Analytical and Combustion Systems (ACS) are as follows: 1.

Direct contact with customers:

Interacting directly with customers to address their service needs, answer inquiries, and provide assistance. 2.

Arrange service visits to jobsites:

Scheduling and coordinating service visits for technicians to various job sites, ensuring timely and efficient execution of service tasks. 3.

Prepare and issue quotes:

Generating quotes for services requested by customers, detailing the scope of work and associated costs. 4.

Issue purchase orders as required:

Creating purchase orders for necessary equipment, parts, or materials needed for service projects, ensuring proper documentation and procurement. 5.

Invoicing:

Generating and sending invoices to customers for completed services, tracking payments, and ensuring accuracy in billing. 6. Arrange parts as needed for incoming or ongoing projects: Coordinating the procurement and delivery of required parts or components for service projects, ensuring that technicians have the necessary resources to complete their tasks. 7.

Handle fast-paced ever-changing work calendar/schedule:

Managing a dynamic and frequently changing work calendar and schedule, adapting to new service requests, emergencies, or changes in priorities. 8.

Answer incoming calls:

Fielding incoming calls from customers, technicians, and other stakeholders, addressing inquiries, scheduling service appointments, and providing assistance as needed. Preferred qualifications for the role include: 1. At least 2 years’ experience: Prior experience in a similar role, demonstrating a strong understanding of service coordination processes and requirements. 2.

Ability to multitask:

Capable of managing multiple tasks and priorities simultaneously, efficiently allocating resources and addressing competing demands. 3.

Can-Do attitude:

Demonstrating a proactive and positive attitude, with a willingness to take on challenges and find solutions to problems as they arise. 4. Experience in QuickBooks and ability to learn other software: Proficiency in QuickBooks or similar accounting software, with the ability to quickly learn and adapt to other software tools used in the role. 5.

Professionalism:

Maintaining a high level of professionalism in all interactions with customers, colleagues, and stakeholders, representing ACS in a positive and professional manner. 6. The ability to learn and calm demeanor: Openness to learning new processes and procedures, combined with a calm and composed demeanor, especially in high-pressure or challenging situations.
