Summary/Objective:
Property management company seeks an experienced and energetic Office Coordinator to join our Maintenance Team. If you enjoy working in a fast-paced work environment, creating and maintaining systems, while delivering excellent customer service, we want to hear from you! Candidates will perform general maintenance office duties including keyboarding, filing, answering calls, and directing to appropriate individuals. Candidates should have previous office experience, and professional presentation, with a customer service focus. Scheduled hours are M-F 8:00 AM-5:00 PM. Essential Functions:
Creation and distribution of notices for residential and commercial accounts. Administrative and organization responsibilities for office processes. Timesheet review and payroll entry tasks in coordination with the accounting department. Assignment of work orders to maintenance supervisors and team members Will update work orders to ensure the status is current. Communicate work order status to tenants and staff, and closure of work orders as appropriate. Performs clerical duties including typing, filing, and completion of simple forms. Operates office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment. Serves as the receptionist for the office, greeting visitors and applicants. Answers phones, directs calls to appropriate individuals and prepares messages. Copies, sorts, and files records related to office activities, business transactions, and other matters. Prepares letters, memos, forms, and reports according to written or verbal instructions. Sorts incoming mail and delivers to appropriate department or individual; processes outgoing mail. Maintains filing systems either manually or electronically. Performs other related duties as assigned.
Required Skills/Qualifications:
Must be able to speak, read, write and comprehend the English language. 1 year of experience as an office assistant Performs clerical duties including typing, filing, and completion of simple forms. Operates office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment. Serves as the receptionist for the office, greeting visitors and applicants. Answers phones, directs calls to appropriate individuals and prepares messages. Copies, sorts, and files records related to office activities, business transactions, and other matters. Maintains filing systems either manually or electronically. Manages calendars and schedules appointments. Performs other related duties as assigned. Ability to work in the US without Company sponsorship. Driver’s License and reliable transportation are required. Pass drug screen, background check, and reference check.
Working Environment:
Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at times. Fast-paced, requires quickly processing information and remaining organized.
Education and Experience:
