Job Description:

We are looking for an Administrative Assistant to perform a variety of administrative tasks to support our company’s principals. To be successful in this role you will need to be able to multi task and work quick on your feet. You will be the central point of contact for scheduling and dispatching our service technicians, ensuring efficient workflow and customer satisfaction. You will handle a high paced multi line phone system answering incoming customer calls, create dispatch tickets, and update customer information in a database. Their role also involves maintaining technician schedules, coordinating service appointments, and handling billing. We are looking for a person that will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results. The Administrative Assistant is the initial contact to team members, clients, technicians, and office staff, and plays a vital customer service role through providing administrative support and dispatching. You must love talking to customers and know how to turn on the charm! Responsibilities:

Manage incoming calls and customer service inquiries. You will be actively working with customers via answering multiple incoming customer calls and scheduling importance for Garage Door Service and Estimates. Answer high paced multiple line phone system via web. Prioritize calls according to urgency and importance. Help process deliveries Maintain and schedule reoccurring maintenance appointments. Provide top-notch customer service and ensure timely and accurate processing of orders and inquiries. Identify and escalate issues or concerns raised by customers to the appropriate department for resolution. Provide exceptional customer service by addressing inquiries, resolving complaints and providing appropriate solutions. Handle customer complaints like a pro, and de-escalate any issues as necessary Maintain our customer database and ensure accurate record keeping Support business owner on projects as needed Bringing positive energy daily Assist in data entry/ bookkeeping (QuickBooks) Assisting in daily office needs Assist in growing the business. Taking it to the next level. Understanding customers’ needs and identifying sales opportunities. Explaining and demonstrating features of products and services. Requirements and skills Prior knowledge of Housecall Pro/Service Titan or other Customer Service Program a plus! Must be super organized and work in clean area. Weekly cleaning tasks as needed.
