Administrative Assistant/Billing Clerk Job Summary:

The Administrative Assistant performs a wide range of administrative duties in support of the firm, including assembling tax returns, processing financial statements and correspondence, and scanning documents. This position ensures that all client documents are of high quality and error free. The Administrative Assistant works closely with staff, partners and clients.

Responsibilities:

Prints tax returns and related documents. Scans and assembles client data, and initiates client contact where necessary. Formats, assembles and finalizes financial statements using Word and Excel. Sets up new clients in internal systems and the portal. Maintains client information across multiple software platforms. Prepares engagement letters. Processes client payments and prepares deposits. Monitors the ticket system to ensure requests are completed in a timely manner. Generates and distributes weekly and monthly billing reports. Completes monthly billing for the Government Team. Responsible for the accounts receivable process, including client communication and reporting. Coordinates and processes all clerical production through delivery to client. Proof reads and corrects documents. Provides administrative assistance to the Tax Department and the Audit Departments as needed. Backs up the office receptionist. Performs general office duties as required. Maintains the confidentiality of the firm and its clients.

Qualifications:

High school diploma 2-3 years administrative experience Demonstrated proficiency in Microsoft Word, Excel, Teams and Outlook Experience in a CPA firm preferred Availability and commitment to work overtime January through April and during other peak seasons Ability to problem solve and proactively look for solutions Excellent communication skills Attention to detail with strong organizational and follow-through skills Tech savvy with the ability to new learn tax and audit software applications Billing responsibilities which are anticipated to take approximately 35% of weekly work time.
