  • EDUCATION and/or
EXPERIENCE
  • Associates degree (A.A.) from an accredited or recognized educational institution and three years of progressively responsible administrative experience related to records retention and management, or an equivalent combination of education and experience
  • CERTIFICATES, LICENSES, REGISTRATIONS

    Certification in records management (CRM, CRA, or equivalent) preferred.

  • SUMMARY:
  • Performs a variety of administrative tasks related to the recording, retention, and proper disposition of official city records in compliance with statutory guidelines.

Provides support in maintaining and responding to public records requests on behalf of the City of Cape Canaveral. Assists in implementing and maintaining city-wide central records management program in compliance with legal and regulatory guidelines

  • ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Assists the City Clerk and Deputy City Clerk in implementing and maintaining the Citys records management program in accordance with the state records retention schedule for all City departments
  • Serves as the records coordinator for the City Clerks Office, tracking offsite/boxed records for retention and disposal while maintaining active records in the City Clerks department
  • Develops and establishes electronic records retention schedules for each department
  • Ensures proper and legal disposal of records that have met their minimum retention requirements
  • Inventories and manages the Citys’ long-term records (10+ years)
  • Responds to public records requests
  • Provides customer service to visitors in person and via telephone, offering information and assistance as needed
  • Performs notary services for the public
  • Prepares and types routine correspondence and reports. Processes outgoing mail and distributes incoming City mail; date-stamps hand-delivered correspondence as required
  • Prepares and distributes the public meeting calendar; creates and maintains up-to-date information in the City Hall outdoor display case and indoor public information areas
  • Prepares the Council Chambers before and after meetings
  • Conducts research and assists in preparing reports on various topics related to City operations
  • Files correspondence and other records; scans and distributes documents for informational purposes
  • Utilizes office productivity and records management software, including Windows-based applications, Microsoft Office Suite, and other department-specific programs, preferably Laserfiche
  • Performs other duties as assigned.

  • This job has no supervisory responsibilities.
