POSITION SCOPE AND ORGANIZATIONAL IMPACT

Moss’ Administrative Assistant will enhance the Director’s effectiveness by providing information management support, representing the Director to others, and supporting the preparation of meetings, presentations, and overall organization. In addition, this position serves as marketing department administrative support and office manager.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

Support the Director of Marketing Maintains and manages Director’s calendar schedule by planning and scheduling appointments, meetings, conferences, teleconferences, events, and travel Provide administrative support to marketing department team members as needed Serve as the marketing department liaison for field requests that may arise in-person, by phone, or electronically, including the marketing helpdesk; provide timely responses to the requestor and ensure requests are assigned and fulfilled Serve as the marketing department’s office manager, managing department mail, maintaining supplies, and coordinating physical maintenance Coordinate marketing department meetings and provide support to other corporate events as needed Print production, including but not limited to maintaining the department’s inventory of brochures and marketing collateral; printing, binding, and coordinating the delivery of pursuit-deliverables Assist with presentations and other documents such as corporate organizational charts and resumes Manage catering needs Process department timesheets and expense reports Maintain phone tree for emergencies Maintain marketing personnel calendar (e.g., team events/vacations) and conference room calendar Attend events on behalf of Moss (e.g., ABC awards, HANDY) Morale management General marketing department support (e.g., supplies orders and pick up, online promo management, editing and proofing) Provide receptionist relief and additional support to other administrative/executive assistants as needed Perform other duties as assigned

EDUCATION AND WORK EXPERIENCE

Bachelor’s degree (B.A.) from a four-year college or university; or one-to-two years related experience and/or training; or equivalent combination of education and experience. Expert in Microsoft Word, Excel, PowerPoint, Outlook Proficient in Adobe InDesign is a plus Familiarity with SharePoint and other Microsoft 365 applications is a plus Ability to collaborate and communicate well with all team members including field staff and upper management Possess a strong work ethic and exercise a high level of maturity with a positive attitude Must be detail-oriented with excellent organizational, writing and editing skills Ability to multi-task under strict deadlines Experience working in the A/E/C industry, preferred Possess an entrepreneurial spirit and ability to think out of the box Honor relationships with the team, clients, vendors and friends of the firm Be nice, have fun!
