Part-Time, In-Person (2-3 Days/Week) About the Role We are seeking a local Administrative Assistant to support a real estate broker-owner with a variety of essential day-to-day tasks across administration, client care, marketing, and business development. This role is part-time, flexible , and ideal for someone with previous experience working in a real estate office or brokerage , especially those familiar with Miami MLS , Beaches MLS, E-sign, Docu-Sign, Sky-Slope, CRM systems, and transaction support. You may be a licensed or retired Realtor, or simply someone who thrives in a high-detail, relationship-driven, fast-paced environment, license not mandatory. This is not a virtual role — we’re looking for someone local and in-person to work 2-3 days per week , typically between 10 a.m. and 2 p.m. or 11 a.m. and 3 p.m. , with occasional opportunities to work from home after 3 months. Core Responsibilities Business Development & Marketing

  • Manage, enhance, and schedule content for social media platforms (Instagram, Facebook, LinkedIn, etc.).
  • Work with ChatGPT tools to refine and post client testimonials and promotional material.
  • Write advertising copy and assist in creative marketing design and video script preparation.
  • Track marketing results and advertising ROI.
  • Post daily listing updates and refresh content across platforms.
  • Contribute to business growth initiatives and brainstorm sales-focused ideas with the broker. Real Estate Administration
  • Prepare listing and buyer packages, CMA presentations, marketing reports, and forms (e-sign included).
  • Coordinate showings, confirm appointments, retrieve lockbox codes, and communicate with agents.
  • Assist in managing the calendar and scheduling for the broker, including meeting prep.
  • Communicate with title companies, attorneys, solicitors, and clients throughout deal timelines.
  • Maintain digital and physical organization of paperwork, listings, transaction documents, and advertising assets.
  • Upload listings to MLS, maintain media/photos, and coordinate signage and marketing collateral. Client Care & CRM Management
  • Answer phone calls and provide warm, professional service.
  • Enter leads and client info into CRM, categorize Sphere of Influence (SOI), and set reminders for birthdays, home anniversaries, and follow-up touchpoints.
  • Prepare client gifts, cards, and assist with closing day prep and post-closing nurturing.
  • Support planning and RSVP management for team events, client appreciation, and local sponsorships (e.g., school teams or seasonal community events).
  • Help manage and update email drip campaigns and nurture lead sequences. Qualifications
  • Must be local — this is an in-person role (office/home-based) 2-3 days/week.
  • Prior real estate experience required — ideally with broker support, MLS input, marketing, and CRM management.
  • Comfortable using tools like Miami MLS, Dotloop, DocuSign, Canva, Excel/Google Sheets, and Gmail.
  • Excellent organization and communication skills.
  • Tech-comfortable and eager to learn AI tools, new platforms, and systems as needed.
  • Detail-oriented and reliable, with the ability to work independently.
  • Must speak and write fluent English ( is a plus but not required). Schedule & Compensation
Part-time :

2-3 days per week

  • Flexible hours : 10:00 a.m. – 2:00 p.m. or 11:00 a.m. – 3:00 p.m.
